Role: Document Controller / Admin Secretary
Projects: Strategic Military Facilities, New Runway and Associated Works & Al Udeid Air base Maintenance Contract. Client: QEAF / USAF
Responsibilities as Document Controller
• Create letters and correspondences that need Director’s signature.
• Receive and log all documents to document register, and circulation to the concerned departments and Managers.
Types of documents:-
a) Drawing submittals (Shop, As-Built, HSE and Information drawings).
b) Material & Vendor approvals.
c) Method Statements & Observation notices
d) Inspection, Testing/Commissioning and Practical Completion requests.
e) RFI, RCA, NCR, PPS, QCS & Document transmittals.
• Maintain general (hardcopies)/electronic filing systems.
• AutoCAD Support (modification, plotting and master plan update)
• Ensure appropriate managers / personnel have reviewed all drawings and other documents and specifications.
• Notify concern team member of the deadline and delays in document submission.
• Maintain document controls registers are up to date and back-ups weekly basis.
• Coordinate with the Client, Contractors, Inter-department and other third parties involved in the projects.
• Classification, sorting, filing and archiving of documents.
Responsibilities as Admin Secretary
• Make coordination of office management and general administration activities.
• Handling Confidential / Financial / Tender documents.
• Handling of QEAF / USAF Confidential future project documents and files.
• Managing Master plan update, area allocation and Dig Permit (WCR / HNCC) procedure of Al Udeid Air Base.
• Answering of multi-line phone system and directed calls appropriately.
• Create letters and correspondences that need executive’s signature.
• Composing and circulate of memos, reports and presentations etc.
• Oversee training of new administrative personnel.
• Supervising the work of office assistants and assigning work for them.
• Collect data for reports and develop presentations.
• Assist with creation, distribution and collection of client outreach paperwork.
• Manual monitoring and stock checking of spare parts & Inventory.
• Receive, record, update and distribute the incoming and outgoing communications (letters, faxes & e-mails).
• Manage and keep general/electronic filing system.
• Make schedules for meeting and appointments for managers.
• Time sheet, attendance, leave, off-site and medical records management.
• Making the arrangements for staff’s travelling tickets.
• Assist PRO works (Visa renewal / Exit permit / Gate pass)
• Coordination with office & equipment maintenance works on time.
• Office stationary purchase order and Petty cash management.
• E-mailing, Automation (print, copy, scan, fax and plot) operations and other basic system applications.
