With the primary responsibility of supporting the CEO & CFO, provide support to the executive team as directed to ensure that company goals and objectives are accomplished, and operations run efficiently.
Oversee all daily office functions, ensuring that the organization and its employees have a pleasant working environment. Answer, screen, and transfer incoming calls and office visitors as the first point of contact.
Be responsible for all vendor management, which includes ordering equipment and supplies, managing and monitoring service levels, invoice reconciliation, and addressing unsatisfactory vendor services.
Handle all travel arrangements internally and externally.
Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine the appropriate course of action, referral, or response, exercising judgment to reflect the CEO’s style and organization policy.
Manage complex office administrative work requiring the use of independent judgment and initiative.
Conduct preparation of confidential correspondence, itineraries, agendas, and other confidential administrative tasks as assigned.
Full HR activities’ control: 10 years previous experience (ERP control, Insurance, Government Platforms, Employees’ Relations etc.)
Plan and orchestrate work to ensure the senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld.
Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.
Coordination of travel arrangements, preparation of itineraries, logistics planning, and submission of expense reports Plan meetings, including scheduling, sending reminders, and arranging catering as needed.
Coordinate and manage CEO, staff, and family members’ business travel, including conferences, meetings, flight bookings, and visas.
Plan, develop, and oversee all the overall business development activities.
Determine key business development KPIs.
Develop a growth strategy focused both on financial gain and customer satisfaction.
Develop goals for the development team and business growth and ensure they are met.
Assess the financial projections and business plans of the organization.
Evaluate the business expansion needs and start-up for the organization, especially when there is a push into new business environments.
Develop and execute a strategy for discovering and securing new business opportunities either locally, regionally, or nationally.
Evaluate, determine, and achieve business growth goals.
Make recommendations to management regarding necessary changes to policies that can affect how clients accept the organization's new business development.
Manage the arrangement and appointments agenda of the CEO in all; meetings, interviews, visits, occasions, and normal or up normal activities.
Organize daily work and orientation related to the CEO office to achieve the best use of the available resources and the time of the CEO.
Organize & prepare travel arrangements of CEO in terms of flight bookings, hotels, transportation in addition to financial and administrative arrangements and related agenda.
Review correspondences and transactions delivered to CEO office ensuring their systematic validity and also write the required explanations on them, submitting them or referring them to the related departments' managers and departments' heads and following what actions have been made.
Manage the in and out communications system such as; telephone calls received and messages reception, transactions, etc.
Follow-through on issues/assignments as assigned by the CEO.
Provide superior administrative support to the CEO, including correspondence, coordination, communications, and problem resolution in an effective and efficient manner.
Update and maintain the CEO’s calendar.
