position serves as a primary contact for graduate students for any guidance, advice, and support concerning student life at KAUST. The graduate services administrator assists in the mitigation and resolution of student issues through direct contact with students as well as through developed partner relationships across the University.
•Design and deliver recruitment services across the assigned portfolio.
•Support local recruiting programs to attract Saudi Arabian candidates
•Monitor and evaluate external labour market conditions and internal employee turnover trends.
•Coordinate with the HR Policy and Initiatives unit to obtain relevant job market data to ensure that employment offers are aligned with the market
•Act as the primary point of contact with candidates and hiring managers throughout the recruitment, mobilization/on-boarding process, transition and probationary period.
•Support multiple concurrent recruiting programs
•Conduct call and face-to-face interviews
•Manage all offers within the assigned portfolio and ensure that salaries adhere to agreed offer models
•Escalate any out of policy hiring activities to the HR Services Manager
•Oversee that the Recruitment Coordinator liaises closely with relocation, security, housing / accommodation and personnel to ensure all guests receive the highest level of service
•Produce reports on recruiting programs and headcount targets for Client Managers
•Ensure that the Recruitment Coordinator handles the recruitment, mobilization/on-boarding process, transition and probationary period for all his/her candidates from start to finish.
• Complete all on-boarding processes including background investigation, medical and visa processing.
• Provide employment and on-boarding information and Procedures to candidates.
• Assist Recruitment Consultants in the meet and greet of new employees and provide them with basic information ie. Provide map of campus.
• Send new employee Confirmed Arrival Report to all hiring departments.
• Arrange appointment and enroll new employees in Pension/Savings and medical benefits. Ensure all documentation is complete and filed.
• Enroll new candidates in KAUST Orientation.
• Prepare and process Cash Advance forms for new employees.
• Schedule KAUST Iqama medical for new employees, and dependents.
• Provide information and answer enquiries about KAUST policy and procedures.
• Organize system and security access (email, Id Badge etc).
• Ensure accurate records are maintained for all consultants in line with KAUST policy.
• Liaise closely with relocation, security, housing /accommodation and personnel to ensure all people receive the highest level of service.
• Process and update information of hired candidates on the system.
• Keep and update candidate files and records during all phases and handover all files to the HR Services Assistant for record keeping and maintenance once the candidate arrives on campus.
• Dedicates face time to ensure employee support through interaction and feedback.
• Organizes and conducts employee information meetings on employment policy, benefits and compensation.
• Acts as first point of contact for employees regarding employee relations issues and/or concerns about motivation and job satisfaction.
• Advises and assists business/line managers on interpretation and administration of Personnel policies and programs.
• Supports line management on a variety of Personnel tools and processes (for example performance appraisal, career planning, succession planning, COR, SETC, GFE controls, identification of high value employees, and recognition of performance through rewards).
• Coordinates internal and external training and recruitment activities.
• Screens and reviews applications and may interview applicants.
• Assists in organizing internal teambuilding events and external local community events.
• Complies with all applicable Schlumberger standards and policies.
• Assists with the coaching and development of new team members.
• Identifies and participates in continuous improvement initiatives.
• Performing administration of personnel actions including hiring, employee documentation, benefits administration, etc.
• Providing reports to the Personnel/Management team.
• Supports Line Management and Personnel as needed.
• Responds to queries from employees, managers and Personnel.
• Performing SAP actions such as hiring, promotion, transfer, termination, etc., as required.
• Performing SAP transactions such as inputting of absences, attendances, payments, deductions, etc., as required.
• Conducting research and analyzes data on assigned projects.
• Complies with all applicable Schlumberger standards and policies.
• Assisting with the coaching and development of new team members.
• Identifying and participates in continuous improvement initiatives.
•Represents Schlumberger professionally at all recruiting activities including career fairs, university visits, interviews, etc.
•Coordinates career fairs, university visits, etc.
•Acting as a first point of contact for new recruits.
•Supports candidates through the interview process and keeps them informed along the way.
•Screens, evaluates and conducts reference checks on candidates, maintains requisitions and advertising databases.
•Keeps up-to-date on recruiting requirements, standards and processes for each of the Business Groups, Segments and Functions.
•Coordinates hiring process of new recruits (including but not limited to pre-employment screening, travel, relocation, effective start date, security clearances, and visa coordination).
•Supports the staffing of new businesses and cross-segment initiatives.
•Maintains new employee files and personnel records.
•Updates and maintains applicant tracking system and recruiting files to support future activity.
•Organizes the logistics for all assessment sessions.
•Complies with all applicable Schlumberger standards and policies.
•Assists with the coaching and development of new team members.
•Identifies and participates in continuous improvement initiatives.
•As a personal assistant to the GeoMarket Recruiter in recruiting.
•Assist the recruiting process by managing the administrative, logistics works e.g. travel arrangement, appointment with schools, getting the new hires ready to for employment by coordinating the visa/work permit, driving license application, medical checkup, English training & liaising with SLB employment agents etc. Primary responsibility is to be in charge of the OFS recruits.
•Coordinate and organize the campus recruiting events and keep close contacts with school Career Center etc.
•Arrange & participate in interviews and maintain a complete and up to date recruiting database.
•Assist in 2nd interview process.
•Carry out recruiting on-line. Promote 100% e-Recruiting & reporting implementation.
•Assist in arrying out ‘Summer Internship’ program for the Geomarket.
•Responsible to create a tracking system for internship in terms of travel, salary, assignment etc.
•Liaise with local 3rd party employment website for local job advertisement.
•Responsible for the purchase of goods and services, including suppliers’ transaction, item definition and quantities, delivery and payment follow-up.
•Develop sourcing strategies for assigned commodities or services with the goal of sustaining continuous cost reductions and quality, service, and delivery improvements.
•Locate, select and manage a high-performance supply base for assigned commodities or services.
•Obtain & analyze quotations and negotiate total cost elements for assigned portfolio.
•Participate in or lead supplier certification and quality system review efforts.
•Use measurement tools and monitor supplier performance.
•Prepare periodical reports as agreed with management.
•Create and manage supply agreements.
•Health, Safety & Environment: Ensure full compliance with HSE policies, in all aspects of the Supply Chain activity.
