ADMINISTRATIVE DUTIES:
Verification of documents,
Fielding queries from customers and prospective clients,
General supervisory duties involving training and evaluation of new employees.
Preliminary interviews and Initiation procedures for new employees.
Responding to routine correspondence addressed to the company.
COORDINATION DUTIES :
Coordinating between the engineering staff, Management & customers.
Follow up of customer complaints and emergency situations.
Kuwait Fire brigade inspection with engineers.
DATA ENTRY/ DATABASE SUPPORT ACTIVITIES:
Scheduling of periodic maintenance visit and confirmation of visits
Analysis reporting based on the shortfalls in the maintenance routines.
Quotations based on the visits & required work in the fire protection system
Entry of the quotation details, Invoice details and submittal status in the database.
Bill of Quantities for Maintenance Projects.
FINANCIAL DUTIES:
Local Purchase Orders & Invoicing in Focus RT
Financial Pending statements and other Statements in Focus RT as required.
Price evaluation of specific items and negotiations for getting better quotes.
SUPPORT ACTIVITIES:
Correspondence for the other departments - HVAC, Electrical when required.
Quotations for Variation Order/Spare Parts & Refilling of fire extinguishers.
Follow up of quotations for approval.
Submittal to the management and forwarding to the engineers after instructions.
Filing and retrieval of documents

Handling incoming mails

Screening and fielding all incoming phone calls for Management.
Co-ordination and decimation of the official information.
