- Supervising the day to day activities of a team of 4 staff
- Organising work load, allocating tasks, tasking team on a daily basis
- Managing team and individual performance. Ensuring all administrative records are completed accurately
- Ensure professionalism & high quality is continually maintained.
- Preparation of relevant reports and documents for senior managers.
- Identifying areas of the business where improvements can be made.
- Developing policies to create and maximise performance.
- Scheduling staff leaves, planning for annual leave
- Training of new staff about OCC work
- Follow up all the transfer stuff and update the manpower and coordinating with HR department
- follow up all the allowances (shift, phone, transport allowance ...) from SS department and send it to HR department
- follow up with training section and HR for all the new employees to give them company ID card
- Develop operating budget and control expenses within that budget
- Coordinating with HR department for all the Allowance ( Phone, Transportation, Accommodation, Marriage …)
- Calculation of staff vacation and providing necessary information of personnel department for calculating the staff benefits like annual leave, sick leave, casual leave emergency leave etc.
- Coordinating with site to stop the allowance for the security that they change there place and send it to HR department.
- Over Time ( Follow-up with the sites to send the over time and check all the names and send it to HR department) .
- Coordinating between the costumer and Finance Department regarding the Time Sheet and the Cheques.
- Coordinating with HR department for demobilization or resignation and for a warning letters.
- Coordinating with HR department for any deduction ( Traffic, Absent day…)
- Coordinating with Travel Coordinator to arrange air tickets for the new coming employees and who is going for vacation and emergency cases.
Assistant Manager in control room (OCC) and prepairing all the mainpower and the attendence sheet
- Handling an amount of QR 150, 000 per month for the project expense as petty cash only.
- Controlling all visa process, medical & finger print with 4 PRO’s
- Arranging accommodation for the new coming employees in two camps having capacity of more than 1500 beds according to their categories and arranging accommodation for the senior staff in our 60 villas.-coordinating with two camp bosses and maintenance Forman.
- Arranging all documents for the security passes for our employees and for sub contractor
- Coordinating with Travel Coordinator to arrange air tickets for the new coming employees and who is going for vacation and emergency cases
- Making Cash Advances, Recovery of cash advances, Traffic Penalty deductions.
- Preparing cheque for Qtel that we have more than 300 line also one deduction list for payroll to deduct the personal calls.
