• Administer in creating concise and effectual flow based on the requirements of the Technical Training Center and UAE Nationals Under-Development. Coordinates and schedules interviews. Delegates to and follows up on work of other site Administrative Assistants and/or temps.
• Working collaboratively under the efforts of minimal supervision by the department managers and Lead Instructors. Monitors reliability; addresses service issues; recommends alternatives and reviews with supervisor such as formulating reports i.e., monthly, weekly, progress report and departmental requirements.
• Performs complex and diverse administrative duties in support of all the UAE Nationals Under- Development, Trainers and Department Managers. Training National regarding policies and procedures.
• Overseeing the physical aspects of the building, including security, appearance, maintenance and determining where there are concerns, consider all options, and how they should be handled.
• Dealing with confidential issues such as salary information, leave, other employee information using discretion and judgment along with weekly, quarterly, monthly reports for the management.
• Conducts training for UAE Nationals in basic information in MS Office in preparation for Borouge Web Access.
• Monitor the progress review of all UAE Nationals and reporting directly to Corporate Training Manager. Monitoring the Employee Status Change of UAE National Trainees, their Grade Change and the allocated department for transfer.
Qualified Internal Auditor for ISO 9001:2008. Provides detailed assistant for Certification Body in terms of quality, safety & Environment. Task Assigned including of administrative works such as logistics, visa / hotel/ gatepass / audit coordinations (pre & post Audit), invoicing, contract verification, dealing with consultants/ auditors and clients.
Deliver quality, cost effective and value added service to the management. Complying with regulatory and statutory requirements that are applicable to the field of business operation, also ISO 9001:2008.
• Ensures the maintenance of filing and retrieval operations, for the Project Record
• Records documents and all documents are filed in safe custody and making records easy and fast retrieval by computerized system as and when required.
• Manages the department document system and uploading in compliance with the company’s functional Design Specification.
• Distributes documents, specifications, drawings and images in compressed format utilizing electronic mail and internet and download application software, scanned images and drawings format and convert to hard copies.
• Assigns drawings/documents number to new drawings, documents for new drawings/documents received from outside sources like Subcontractors, Engineering Contractors.
• Ensures the maintenance of a reference library for technical books, documents, standard practices, procedures, technical magazines, journals and quality control manuals.
• Disposals of documents that are declared to be no longer operationally required by the department, and arrange disposal of such record, in accordance with approved procedures.
• Deliver service and support to end-users using and operating automated call distribution phone software, via remote connection or over the Internet.
• Interact with customers to provide and process information in response to inquiries, concerns, and requests about products and services;
• Gather customer’s information and determine the issue by evaluating and analyzing the symptoms.
• Diagnose and resolve technical hardware and software issues involving internet connectivity, email clients, modem or telephone interruption;
• Identify and escalate priority issues per Client specifications;
• Accurately process and record call transactions using a computer and designated tracking software;
• Offer alternative solutions where appropriate with the objective of retaining customers’ and clients’ business;
• Organize ideas and communicate oral messages appropriate to listeners and situations;
• Follow up and make scheduled call backs to customers where necessary;
• Maintains current and obsolete documentation for the project.
• Assembles document packages for the staff as required to assure that the latest versions of documents are utilized.
• Coordinates regular Document Audits and assure that current document templates are used properly thus verifying that change approval procedures are followed.
• Works with direct supervision and exercise the core of document controls.
