ADMINISTRATION.
-Administration of Projects, DDM and MIV teams regarding Projects and maintenance jobs
-Works analysis and to implement Estates management policies to increase efficiencies.
-Preparing Activity reports for Estates
-To deal with contractors on maintenance jobs
-Acting as Help Desk Manager for Estates
-Holding events in Estates, and to arrange payments on services taken by the contractors.
FINANCE
-To manage Estates budget and to bid for the next years budget with the Corporate Services Manager (Estates).
-Casual staff payroll administrator (250 x staff members)
-Permanent staff overtimes on monthly basis, and any related reports for the senior management (69 x staff members)
-Preparing invoices for other government departments ( aprox. £30, 000 every month).
-Labour costing for each maintenance work done by Estate.
MIS MANAGEMENT
-To prepare Reports/Profiles/MIS management pertaining to works/labour done by Estates
-Maintaining works requests database.
-Maintaining Microsoft Excel spreadsheets for Asset register.
-Maintaining Carbon calculator and Pyramid records for audit purposes.
HUMAN RESOURCES
-To deal with staff HR related issues i.e. Hiring of staff, Staff retirements, Appraisals, Employment certificates and staff trainings/development.
-Assisting Estates management in recruitments (Drafting job adverts/Liaising with the HR)
-Job interviews panel member for BHC
-DUTY OFFICER(Out of office hours)
To act as a duty officer--emergency call outs on maintenance jobs and water bowsers.
