- Providing executive administrative support (Director and Director General) such as compiling information, proofreading, formatting/editing documents, and drafting correspondence.
- Managing an agenda and electronic calendar at the senior executive level (Director and Director General level) as well as preparing meeting files and tracking action items.
- Monitoring the incoming flow of correspondence and delegating tasks to senior managers/Directors on behalf of the Director General.
- Responding to emails on behalf of the Director General.
- Acting as a first point of contact to the branch.
- Answer questions and providing support to members of the administration team and ensuring practices are being maintained.
- Maintaining personnel files and processing HR staffing actions.
- Planning and making national and international travel arrangements, as well as preparing travel expense claims.
- Liasing on administrative issues with senior officials and members of external organizations.
- Coordinating logistics for meetings, presentations.
- Maintaining a Bring Forward system and managing the timely flow of responses.
- Maintaining filing systems and knowledge of record keeping and office procedures to facilitate storage and retrieval.
