Roles and Responsibilities:

Purchase Coordination -
• Coordinate with suppliers in India, Chile, Germany, Belgium, Netherlands, Gabon, France, Korea & other locations.
• Forecasting, planning and controlling the purchase & supply of cargo.
• Negotiating prices, preparing purchase orders, invoices & ensuring payments are processed as agreed with suppliers & freight forwarders / shipping lines.
• Reviewing all contracts/agreements to achieve ‘best price/best quality’ purchasing

• Preparing LC drafts in accordance with the company policy and banking regulations.
• Verifying Invoice, Packing List, Bill of Lading, Certificate of Origin, Freight invoices etc. & ensuring adherence to LC requirements.
• Maintaining records of supplier quotations, contracts and goods ordered & received in the ERP (Focus). Ensuring adherence to contract terms & conditions.
• Covering insurance once the vessel sails from the port of loading and in case of any claims or demurrages taking it up with the insurer or the shipping agent.
• Support sales team in attaining targets, coordinate with purchase & sales manager to determine business requirements.
• Managing supplier relationships & effective supply chain partnerships.
• Stay abreast of new processes, technologies, purchasing methods and market conditions.

Sales Coordination -
• Coordinate with the buyers mainly in MENA region.
• Motivate & provide support to entire sales team and assist them in the acquisition and maintenance of new and existing customers.
• Update orders and quotation database.
• Process orders and follow up on order acknowledgement and ship date advice to customers
• Handle and manage customers’ direct enquiries via phone calls, emails or web enquiries
• Follow up for payments and ETA of vessels from shipping line and update customers on a routine basis.
• Thoroughly checking the LC opened by the customer or other modes of payment and ensuring that the payment is well received before the shipment actually takes place.
• Maintaining a healthy relationship with existing customers while opening up fresh customers.
• Providing sales and administrative support involving efficient handling of top and confidential agreements.
• Preparing monthly, weekly or daily sales analysis.
• Preparing proposals, agreements, sales reports, and presentations.
• Collecting, analyzing, evaluating and accounting the information in order to increase productivity of sales.
