Provide high-level administrative support by handling information requests, and performing clerical functions such as preparing correspondence, memorandums, letters & other documents, receiving visitors, arranging conference calls, and scheduling meetings
Receive, direct and relay telephone/fax messages. Screen visitors, telephone calls, correspondence directed to the GM/MD and respond in their behalf accordingly
Prepare agendas and make arrangements for committee, board and other meetings. Compile, record and distribute minutes of meetings. Attend meetings in order to record minutes
Manage and maintain the GM/MD schedules and calendars & company’s visiting directors calendars, travels, meetings, hotel reservations, airline bookings, prepare their itineraries with proper coordination and all other logistics needs
Maintain proper coordination to ensure the General Manager and visiting directors are well organized in their daily schedule, task and other executive functions be in the office and or traveling for business and or leisure purposes
Respond to public inquiries and/or direct it to specific department/office staff and over-all in-charge of office administration
Assist and act in a confidential capacity to the GM/MD

Coordinate all activities related to the Document Control procedure, including technical documents, drawings and commercial correspondence
Preparation of all documents and ensure communication with employees are up to date in order to make submissions early
Administration of post offer clarifications, changes and requests for revision, and updating database accordingly
Generate daily reports to keep tract the pending enquiries, offers that needs to be followed up & send to clients; and prepare daily offers and orders list including any revisions, to all seniors of the company
Follow up clients, communicates vendors & other companies relating to products we requested for quotation, specifications & other related matters
