Handling any type of events that is being assigned.
To prepare proposals for all incoming inquiries pertaining to groups (telephone inquiries as well as faxes, e-mails or verbal, local or overseas etc)
Showing and explaining to client the arrangements required for their events.
Sending Banquet event order to client
Discussing and arranging the event to the Banqueting Operations team & the Kitchen team as well
To co-ordinate residential conferences from start to finish (paperwork, operational details, meeting greeting - basically a one stop shop for conference organizers). To co-ordinate with relevant departments (Reservations / Sales / Banqueting / F & B) and pass on all necessary information about incoming groups. Also to ensure that amenities are sent to the rooms and all other operational aspects are checked according to specifications given by the client.
To assist with arrangements for familiarization of the groups.
To conduct show-rounds of the hotel for groups or site inspection visits for prospective groups.
To co-ordinate residential conferences from start to finish (paperwork, operational details, meeting greeting - basically a one stop shop for conference organizers).
To prepare and maintain forecasts of confirmed, tentative groups on weekly basis for the future including a forecast of revenue expected.
To do a site visit for any Outside Catering inquiries along with the Chef & Banquet Operations Manager
To prepare / maintain records of lost business in groups along with the reasons.
To collect deposits and down payments from group - wherever necessary.
To maintain an orderly filing system with group information.
To assist department head / management in any other tasks as seen fit.
To keep sales department informed of any sales leads (i.e. groups which could be taken).
To prepare group contracts, stating terms and conditions of group's stay and obtain signed approval of group leader / organizer prior to the group's arrival.
To maximize group sales.
To attend departmental meetings and company training sessions as required.
To attend weekly / monthly sales meeting and yield meetings.
To entertain clients as required.
To maintain tracers for all annual group bookings / leads for future business
To prepare a daily report on all the inquiries received, proposals sent, business confirmed, clients met, business lost.
Assist & coordinate with the Group & Conference Executive with regards to all kinds of paperwork needed for the group bookings from proposals to conversions of all groups confirmed with the hotel. Follow up all inquires with a trace system with release period & advise the Group Status on a weekly basis.
Follow up with the key contact of the Group within one week of their departure & provide the feedback to relevant department.
Prepare weekly report of all confirmed bookings with estimated revenue.
Prepare monthly report for all group bookings materialized with actual revenue.
As a Revenue Officer I am handling reservation of rooms (individual or groups) as well as Restaurant bookings. I am also in-charge of applying Visa for our guests and meeting Corporate Clients.
My duty as a Telesales Executive obliged me to practice my upselling ability at all times by calling up clients at a given database as per given target.
I was in-charge of handling the entire Cash transaction of the Seafood Market Restaurant. This includes the day to day Restaurant collections as well as the Room Revenue and the Banquets Revenue. I have to make the Summary of the different collections made during the day and submit the same for accounting purposes.
