-Responsible from order validation, creation up to shipping for MEI customers.
-Maintain a KPI of 24 hours to respond via all means of communication & timely closure of cases
in Salesforce - CRM tool.
-Update customers on the status of their orders, shipping documents, finance invoices etc.
-Act as a link between sales, customer, finance, logistics and freight forwarders to ensure
movement of orders to generate revenue for the company.
-Co-ordinate with sales, procurement, logistics to improve delivery lead times to meet project
deadlines to minimize order backlog.
-Support Sales team with product lead times / availability to secure upcoming projects.
-Adhere to the policies and procedure to meet the required audit and compliance standards.
-Liaise with Technical support team to book and ship replacement orders as per our return /
replacement policy.
* Ensure customer orders are booked and acknowledged within 24hrs in SAP to meet the targets and achieve customer satisfaction levels.
* Coordinate with customer care center, sales and marketing team for any order related irregularities at the booking stage.
* Follow up on the orders and ensure delivery within the commercial lead-time and commitments.
* Liaise with the local adaptation centre for configuration & creation of units that require assembly.
* Administer the contractual documents required for the customers or countries like the order acknowledgment, invoice, freight invoice, packing list, delivery note, certificate of origin, legalization etc.
* Provide order / shipment status to customers in a timely manner. Ensure invoicing target per region is achieved for the assigned portfolio’s.
* Liaise with sales engineers, stock controllers, logistics & transportation department to ensure shipments are delivered within the agreed commercial terms.
* Investigate commercial and logistic claims raised by customer and provide appropriate solutions
* Handle customers in UAE, Qatar, Oman, Bahrain, Kuwait, KSA, Egypt and Pakistan.
* In charge of all export (outbound) documentation / shipments.
* Verify the documents received from the Sales admin team, in order to proceed with export documentation to dispatch the shipments.
* Maintaining the dispatch tracker in SAP and segregating the documents based on incoterms and the mode of transportation.
* Processing Certificate of Origin for each shipment in Dubai Chamber of Commerce, maintain and monitor transaction of every certificate for payment purpose.
* Dispatch, monitor and send load list (pre-alert) to different departments & forwarders like DHL/TNT/UPS for timely dispatch of goods.
* Coordinate with suppliers and ensure that optimum output is obtained in satisfying the customers.
* Monitor AIR / SEA shipments due for uplift during the week depending on the schedule.
* Dispatch goods within 1 day of receipt of the documents.
* Plan and optimize the usage for FTL's to minimize cost without affecting the customers.
* Monitor and regular follow up with the forwarders to ensure on time delivery of the shipments.
* Updating status of the shipments in SAP, maintain excel for all document dispatch, transfer bills, COO charges etc.
* Filing all outbound documents (awbs / BLs / Too / fca acknowledgement forms) for future reference and audit purpose.
* Provide release forms to all FCA/Exworks customer in order to collect shipments from our warehouse.
* Dispatch documents to the customers for clearance and collection of the shipments based on the incoterms.
* Updating customers and various departments on the status of their shipments.
* Update import (inbound) shipment details as a backup for transport coordinator import.
Skills :
Knowledge in MS Office and well versed in Microsoft Outlook, Lotus Notes.
Planning/Organizational/Time Management Skills.
Worked on ERP Systems - ISCALA & SAP.
* Co-ordinate with Cargo agents and customers.
* Call agents on daily basis to get updates and to promote our service.
* Providing pre and post shipments details and flight schedules to the customers.
* Providing Air freight charges / quotations to the customers for export shipments.
* Execute AWBs and maintain AWB stocks.
* Co-ordinate with GHA (dnata) - sending load plans and relevant documents for the flights as well as station in-charge at final destinations.
* Invoicing customers and the carrier for the services provided, handling cash & providing accounting copies to the head office.
* Providing sales report to the management on monthly basis for the flights handled.
* Filing inbound & outbound docs, invoices for future reference.

* Handled perishable shipments in export department and booking the same with the airlines, regular follow up till the shipments are uplifted for their respective destinations.
