Primary Responsibilities:
•Identifying suitable tenders announcements in the daily newspapers;
•Leading discussions with sales team on potential tenders;
•Following up on tender requirements i.e. preparing and sending out invitations to bid to the various principals, preparing quotations, bid bonds after receiving offers from different parties, and submitting tenders on time.
•Following up the submission of tenders including communication with companies and/or governmental institutions.
•Following up on logistics during evaluation and award sessions, including communications with companies and departments.
•Providing communications between the offices within the company’s department and external offices.
•Following up on the delivery and installation with the maintenance department and the bid bond retrieval and commission payments.
•Arranging customers training plans for awarded tenders.
•Maintaining and distributing a variety of complex records, lists and files; type a variety of items including forms, letters, reports, special projects, tenders documents and other materials.
•Carrying out all secretarial duties pertaining to the Tenders Dept, typing, filing, etc.
•Keeping records of tenders and their closing dates.
•Coordinating between the various customers and the sales and financial department at SMS.
•Preparing exemption letters and sending them to custom department.
•Attending meetings between sales team and management and ensuring the implementation of the decisions taking by management.
•Keeping records of the awards, preparing performance and maintenance bonds and following up all matters related thereto.
•Enhancing the electronic commerce strategy long term for the Scientific Department.
•Provide monthly, quarterly and upon request reports.
