- Provide support to the Regional Delegate and his deputy on all department related matters by preparing a daily activity report and important documents to be signed.
- Provide administrative/secretarial service to the department, routing callers/ correspondence as necessary.
- Coordinate and facilitate the reception and logistical arrangements for visiting VIPs and dignitaries, ensuring observance of protocol and sensitivity to cultural aspects.
- Make travel arrangements in a time-effective manner, including arranging complex itineraries/venues.
- Establish, maintain & revise filing and record keeping system of all documentation with strict level of confidentiality and discretion.
- Liaise with all diplomatic and consular missions/ Embassies, Red Crescent Societies, UN resident organizations and all concerned governmental authorities in the State of Kuwait and the Gulf region on matters related to protection, detainee affairs, and the issuance of travel documents.
- Draft/send official letters and all correspondence independently, and carry out the necessary follow up with official departments and UN agencies.
- Conduct training in Saudi Arabia, UAE, Qatar and Bahrain for Red Crescent Societies staff in the GCC for protection matters.
- Explain the concept of “Time Share” to customers; convince customers to own/rent time shares.
- Supervise sales representatives’ performance and develop the sales team in terms of product knowledge, service offering, sales tactics and approach.
- Achieve and exceed the sales target set by the management on monthly basis.
- Develop the sales module of the company to meet the market dynamics.
- Provide monthly reports about sales, customers, product mix.
- Distribute the monthly sales target between the sales team according to products, customers, territories and market segments.
- Provide relevant customer requirements/service expectations related information to the general manager.
- Participate in contract negotiations and contract modifications, and closing deals with clients.
- Receive and screen incoming calls and visitors, determine priority matters, and alert the executives accordingly.
- Draft letters and memoranda in response to inquiries.
- Translate from English into Arabic and vice versa all required communications.
- Prepare agenda and collecting materials for meetings and conferences;
- Take minutes and keeping records of proceedings.
- Assist with revisions and maintenance of office procedures and policies.
