Duties and Responsibilities: • Performs document control/secretarial functions such as manual and electronic filing systems.
• Receives incoming documents from clients, consultants and subcontractors for all projects.
• Prepares and drafts correspondences to client, consultant and subcontractors as per the project manager's or project engineer's instructions.
• Maintains and updates the logs for outgoing and incoming correspondences, logs for shop drawings and material submittals and any other important documents for easy access to all queries with regards to the status of the project and generates its soft and hard copies as required for the weekly and monthly reports or to any other related purpose.
• Responsible in maintaining all the documents in a safe custody without any loss or damage and filing it in the archive room, classified and organized for easy traceability.
• Performs basic office operations such as answering telephone calls with a manner of courtesy, sending fax transmittals, making photo copy of documents and attending to queries of walk-ins in order to point or guide them to the right person to make an appointment with, to deal with or to do business with.
