To coordinate the entire procurement process from the initial request to the completion of each order.
To ensure all documentation is complete.
To receive and respond to all email and verbal communications in relation to supply requests (SR) for supplies and services from the field sites and STPL office, and to allocate supply requests to the procurement officer for items.
To prepare Supply requests (SR), & Requests for Quotations (RFQ) for all procurement.
To obtain quotations from various vendors for authorized procurement to achieve a competitive and fair quotation.
To prepare and assess the Comparative Bid Analysis.
To prepare Purchase Orders (P/O) for approved Supply Requests and negotiating delivery dates with the successful vendor.
To communicate and coordinate with the management to ensure that all requests for supplies are handled by the most appropriate site.
To create and implement a Procurement briefing package to brief staff from all aspects of the program to ensure staff is fully aware of the procurement process.
To visit field sites to assess and facilitate training of procurement procedures to ensure the procurement process is effective and in line with organizational standards.
To write a procurement report for the Logistics Officer at the end of each week.
To be responsible for maintaining and updating the mobilization table and sending weekly updates to the all concerned.
To liaise with the Finance department to administer the final payments to vendors in line with the terms and conditions outlined in the P/O.
To track supplies delivered to the field sites to ensure that the appropriate documentation is returned from the field as appropriate.
To maintain existing relationships with vendors and identifying and locating new suppliers for current and new goods and services
To be responsible for updating and maintaining the electronic and manual filing system for procurements.
