CORPORATE ADMINISTRATION
1. Lead manage of the office administration tasks for corporate & site offices and providing direct support to the Head of Department and other teams for any administrative matters.
2. budget for manpower, office supplies, office enhancements & other necessary additional system for the entire team.
3. Over all person in charge in arranging corporate events & trainings for the team from planning to execution.
4. Providing support to Human Resources through managing the outsourced staff of the division from recruitment, on boarding and non-renewal of service. Key person/ support for any management transition.
5. Taking lead role in new initiatives / project management during pioneering period such as launching of new system (FreshDesk)
COMMUNITY MANAGEMENT
1. Monitoring of Financial & Operation’s Trackers to be updated in budget model, collection report & action trackers as per Service Level Agreement target.
2. Providing support in maintaining the Master Community through weekly inspection & quarterly internal audit, ensuring 100% compliance of service providers and the 11 towers building management team.
3. Responsible for site office management & administration tasks from office inventory supplies, procurement requests to issuance of violation notices & letters to service providers & plot owners.
PROPERTY MANAGEMENT - LEASING
1.Responsible for all managed units from snagging, handover, routine property inspection, move in & move Out & tenancy contract renewal.
2. Handling legal issues including bounced rental cheques and Rental Dispute cases as per rental law from filing until verdict.
3. Preparing Management reports such as Rental Matrix (Approved vs. Actual Achieved), occupancy report, legal cases, approval sheets & incident reports.
4. Maintaining tracker for maintenance & operations, while coordinating with clients and service providers
5. Liaise and submit all receipt vouchers for rent / Ejari / management fee to Harbor accounts and issue invoices to clients as required.
FACILITIES MANAGEMENT
1. As the frontline of IAS Lootah FM call center, my primary responsibility is to ensure that all the calls received from the client’s side should be encoded and relayed properly for a speedy action from the maintenance team.
2. Prepare quotations and for invoices if needed in some situation.
3. Preparing monthly income and progressive report to be forwarded and presented to the Managing Director.
4. Arrange daily, weekly & monthly schedule for the team.
