-Act as a point of liaison between customers, suppliers, and salesperson to ensure timely completion of orders.
-Generates report on a weekly basis to check “reorder” items - (Inbound)
-Generates report on a daily basis to check “ready -to-invoice” items- (Outbound )
-Take charge of Logistics Minutes, both inbound and outbound thus have a complete knowledge of all orders - both to vendors and from customers
-Works hand-in-hand with Logistics to ensure that all orders are processed timely and in-charge to resolve any issue that might delay the order.
-Inform customers of “ready to deliver” items and coordinate with their nominated forwarders for collection.
-Responsible for entering new customers and new supplier accounts on the system
-Responsible for inbound and outbound documents filing
-Handle customer complaints related to deliveries. Performs investigation should the situation call for it.
•Directly reports to Project Manager.
•Perform a full range of secretarial duties from clerical to administrative functions such as preparing correspondences, generating reports, maintaining accurate filing system etc.
•Receive submittals from contractors and maintain a real-time status log of each submittal to keep track of pending issues, approval status, and delayed documents.
•Coordinate internal and external meetings, trainings and events.
•Transcribe and distributes minutes of meetings and agendas in a weekly basis.
•Schedule and confirm appointments for client and contractor.
•Serve as a point of liaison between project key personnel concerning project related issues.
•Take charge of travel arrangements of Project Manager such as visa requirements preparation, ticket booking and hotel reservation.
•Maintain a proper and accurate physical filing system tailored for easy retrieval of hard copies.
•Ensure vital office supplies are available to avoid disruption of daily operation.
•Maintain Project Manager’s calendar and make sure he is informed of his appointment(s) ahead of time.
•Coordinate with respective courier company for incoming and outgoing shipments

•Maintain an updated and high-level knowledge of the products’ technicality and services being catered to the public.
•Perform marketing through direct selling and telemarketing.
•Take in charge of the sales department daily operation.
•Formulate sales strategies such as promo schemes, showroom display and promotional materials.
•Train and supervise sales representatives to ensure they are providing excellent, consistent, timely and de facto services to clienteles.
•Plan and compute product prices to win government biddings.
•Prepare reports on a monthly and quarterly basis which sums up the sales department status in terms of total sales, most movable items, new tapped clients, inactive clients, target sales for the next month/ next quarter and how it will be achieved, sales representatives performance for the covered period, Problems encountered and actions taken to solve them. (The report is a study which explains the sales of the company and its current position on the market.)
