Oversee the daily operations for Mailroom and Printcenter to ensure completion of all deliverables and tasks within the agreed SLA.
Conduct quality checks/controls on prints and ensure highest quality of work output.
Manage/monitor importation shipment (Commercial Invoice, Packing List, BOC-COR, e2M etc.) and coordinate with courier service provider to ensure that the shipment is cleared in BOC to avoid abandonment.
Identify areas of improvement in workflow and suggest possible work-around.
Manage/plan staff roster and leaves and ensure that contingency is planned in the event of unforeseen absences/emergency.
Coordinate with HR in terms of on-boarding and off-boarding, overtime/legal and special holiday payment of staff.
Interview and train new hire.
Conduct routine training and/or workflow improvement for the existing team members to strategically maintain team efficiency and to maximize staff productivity.
Provide coaching and one-on-one performance improvement sessions.
Monitor staff performance and provide quarterly and annual performance review/feedback.
Coordinate/maintain good relations with other Line of Business, stakeholders, and vendors.
Handle complaints and issues related to the operations and ensure that the matter is taken cared of in accordance to the LOB Standard Operating Procedure.
Render management reports and operational updates.
Monitor LOB expense and ensure accuracy in payables and provide monthly expense report/feedback especially for unusual increase of expense.
Update Job Aid/SOP for any changes and ensure accuracy.
Update monthly operational reports via Sharepoint.
Coordinate with Legal and Compliance Department for any official transactions that require approval prior to furnishing Company documentation.
Ensure that all team members adhere to the company policies and standard behavior.
Promote positive work environment and lead by example to motivate the team and ensure productivity.
Supervise and lead the team to ensure that the daily operations are being handled as per the SOP and Service Level Agreement.
Communicate and coordinate with Embassy regarding visa issues and concerns.
Maintain and monitor security procedures.
Maintain daily and monthly operations report.
Conduct trainings and coaching sessions to ensure high quality performance.
