Front Office
- My primary duty as a Front Desk Receptionist is to greet a business’ visitors or customers.
- Warmly welcomes them, entertain them and providing refreshments.
- I may also answer basic questions regarding the business, such as hours of operation, as well as provide customers with a brief explanation of the products such as the prices, duration of rent, terms and conditions, requirements and etc.
- Opening and closing of the Rental Agreement.
- Front Desk Receptionist is responsible for answering all incoming calls. Taking their concerns and relay it or transfer it to the concerned department as needed.
- Oversees the distribution of incoming and outgoing mail. When mail arrives, sorts it, eliminating junk mail and identifying those of the highest priority either reply into or distributes it in the concerned disciplined.
- Arranging drivers for some car booking deliveries, replacements, off hire car bookings, picking-up other drivers and etc.

Customer/Fleet Service Representative

- Answering incoming calls and emails, receiving and addressing customer’s concerns in accordance to emergency, urgency and priority.

- Manages, controls, monitors the activity of drivers from time to time to enable them to utilize properly.

- Arrange driver to replace the car of our valued customer either in our office or to the customer location for their personal concern like service time (change oil, brakes checking and etc.), breakdowns, accidents and etc.

- Once the driver came from replacement I will ask them what is the problem of the car that needs to be addressed properly the soonest time possible. I will ask the key from them and sometimes I personally check the status of the vehicle if the case is highly important (accident).

- Forward the keys to the service department with labels that what is need to be done and relay some important instructions.

- Arrange again the driver to return the original vehicle to the customer that was came from service.

MY DUTIES AND RESPONSIBILITY AS A CUSTOMER SERVICE SPECIALIST

• Receive, process, and verify the accuracy of orders from customers utilizing the organization’s internal CRM/mainframe systems and customer purchase orders.

• Initiates required action for response to customer service requests for order changes, including the maintenance of order/customer information files and communicates changes to the appropriate personnel/departments.

• Ensure and provide quality service to both internal and external customers.

• Receives inquiries from and/or contacts the organization’s branch/regional offices to resolve a variety of order-related issues.

• Access the company’s internal systems to obtain and extract order information and provide customer service management with the data for inclusion in various scheduled and special reports
• Performs assigned system maintenance to various electronic order files.

• Participate and provide expertise as a member of the customer service’s departmental team. The team's objectives are develop and recommend changes to existing methods and systems to increase the accuracy, efficiency and responsiveness of the customer service department as a whole.
