Training Duties:
• Create and deliver soft-skills training modules.
• Conduct company orientation to all new joiners.
• Conduct food safety training and review in the absence of the Training Manager.
• Apply knowledge of learning styles and instructional principles to design suitable training and development programs as required and needed by the Company.
• Oversee the development and implementation of skills training for each department using Training Needs Analysis (TNA).
• Compile and updatethe requisite technical/skills training in every concerned department in collaboration with the Training Manager.
• Update the personal training history files of all employees.
• Develop and maintain the training master list.
• Prepare and organize distribution of Training Certificates.
HR Duties:
• Handle the resignation and termination processes from exit interview to visa and labour cancellation.
• Prepare termination and warning letters.
• Prepare salary and employment certificates.
• Handle insurance applications, renewals, and cancellations.
• Coordinate with the Recruitment Team and the candidates for Face to Face interview - make sure that the required documents are in hand, apply for Tourist/Transit Visa if needed, book air tickets, book hotel accommodations, book transportation if needed.
• Book medical tests for the candidates as per the Client’s requirements.
• Coordinate with the Clients regarding the candidates’ security clearance, medical results, service orders, and official dates of joining.
• Prepare Job Offers and Employment Contracts
• Prepare applications for Employment Visa processing, Labour Contracts and Emirates ID’s, and coordinate with the PRO regarding the status of each application.
• Book Visa Medicals
• Compile, maintain and update personnel records and files, including employee information - personal data, compensation, benefits, attendance, leaves, disciplines, changes in employee status, rewards, and termination.
• Monitor employees’ document expirations (visa, labour contract, emirates ID, security pass) and coordinate with the employees and/or the Clients to obtain the necessary documents for renewal.
• Prepare employee letter in relation to salary, bonus, benefits and adjustments.
• Liaise with the Insurance Company regarding the medical insurance applications of employees (additions, cancellations, renewals).
• Receive invoices from suppliers, record them as necessary and hand them over to the Accounts Department.
• Meet representatives from different hotels to discuss the offered services and rates.
• Coordinate with bank representatives regarding bank account opening for new employees.
• Monitor the attendance of all staff by ensuring that attendance timesheets are submitted on time for payroll processing.
• Monitor internal leave applications and prepare internal timesheets for payroll.
• Monitor office supplies and place orders with the supplier as necessary.
• Monitor and update the Logistics tracker for all requests made to suppliers.
• Handle the reception whenever necessary.
Client-Servicing
Taking the place of the Recruitment Team Leader whenever necessary.
Handling the requirements in respect of the recruitment requirements from managerial & engineering positions to technicians level both technical and administration support.
Prepare candidates' information sheets and the interview schedules for the clients and candidates' mobilization.
Follow-up shortlisted candidates' status to the clients.
Assist clients in conducting recruitment campaigns abroad and locally, if necessary.
Negotiate offer packages to finalize and draft the offer letters.
Recruitment Process
Classify and file CVs according to set sequence to be coded and filed properly.
Conduct regular search on database and internet through several channels; for example: Oil Careers, Rigzone, Linkedin, Oil and Gas Job Search, Abu Dhabi Jobs and others.
Gather and enter all CVs receives through any channel, and increase the company's database.
Manage the daily external and internal advertisements and ensure that all current adverts are posted and regularly updated on the company's website.
Arrange candidates' interviews, visa procedure, labour procedure, employment offer letter
Liaise with recruitment agencies abroad.
Evaluate and analyze the candidates' CVs and receive the Operation Director's approval on submitting them to the client.
Handle the processing of shortlisted candidates abroad (request for Transit Visa, Visit Visa, accommodations, actual date of interviews, etc.).
Fill up the daily scheduled requirements of globally competitive and qualified specialists, technical & non-technical candidates in the fields of oil & gas (onshore & offshore), petrochemicals & multinational industrial sectors in Abu Dhabi.
Administrative and other activities
Provide the highest level of support and information of the recruitment process to the Operation Director.
Train and Monitor the competency of new team members working in the department, when advised from the Operations Director.
Prepare weekly and monthly reports to be submitted to the management.
Maintain an organized filing system related to each client and each project.
- Check all technical support emails for correct grammar, spelling, and formatting.
- Coordinate with agents in the Philippines and in Ukraine regarding the accuracy, completeness, and comprehensiveness of emails.
- Coordinate with the team leaders in the Philippines and in Ukraine regarding the emails of trainees.
- Make sure that all emails are sent on time.
