Duties :
As HR Assistant
The Human Resource Assistant is responsible for performing a variety of HR support duties including the maintenance of HR data, employee’s records and personnel files.
o Oversees & ensures that Human Resources files and database are maintained in accordance with legal requirements and company policies.
o Coordinates with PRO and Payroll Accountant regarding with employee’s entry and exit formalities.
o Manages confidential files and records such as monthly reports, procedures personnel files, employment contacts, terminations, transfer and new hires, etc.
o Prepare offer letter, contracts and oversee new starter administration.
o Maintains the employee leave records and communicate data to management as required.
o Monitoring employee attendance and preparing monthly reports.
o Prepares job posting and liaises with advertising bodies.
o Short listing received CVs and communicating with the applicants regarding interview schedule, sending interview invitations and gate pass.
o Provides full administrative assistance to the Department
o Maintenance of Training Records.
o Arranging induction training for all new employees.
o Administer and arrange office staff annual tickets and hotel booking.
o Preparing PO’s and verification of invoices for flights and hotels.
o Reception cover as and when required.
o Provide advice and guidance to Managers and staff on all HR related matters with assistance from the HR Manager.

Survey Training Administrator

Duties :
As Survey Training Administrator
o Provide an effective administrative and secretarial support to the Offshore Training & Development Manager.
o Gives assistance in the full range of training activities including arranging all internal and external training courses. This includes booking conference room, issuing CPD certificates, arranging training materials and/or any equipment required.
o Organize filling system in line with the Horizon IMS Standard, building survey & training contact list for both offshore and onshore staff.
o Handle clerical duties for Project Management Team, including composing and typing project correspondence, sorting mail, scheduling meetings and making copies of documents for construction project reports.
o Answer the phones, respond to general questions from clients, write messages and transfer calls.
o File maintenance, organizing project and office files including correspondence, change notices
o Schedule and coordinate meetings, appointments and travel arrangements for managers or supervisors.
o Prepare expense reports for Project Managers.
o Preparing drafts edit and disseminate information through letters, mails, and memos.
o Arrange refreshments for client and staff meetings as directed
o Maintain office supplies
o Edits customer’s information if necessary to meet standard format requirements
o Necessary to reach quota of 400 applications per day
o Performs all responsibilities in accordance with company policies, SOP’s, and with all regulatory standards and regulations
o Follows all safety procedures, policies, precautions and Quality Assurance
o Other administrative duties as assigned
o Provide excellent service to customers who visit the counter.
