Responsibilities Include
• Obtaining daily vessel position / schedules from vessel managers, declaring vessel particulars to terminal operators in order to create voyage rotation for each vessel.
• Responsible for amending ETA dates / time when received from vessel command and ensuring Customer Service / Sales / Partners are well informed.
• Reporting updated vessel ETA's to terminals for berthing prospects / crane bookings.
• Sending required declaration formats for ISPS/ Immigration documents to vessel command requesting necessary information prior to ETA along with any specific vessel requirements during port stay.
• Obtain provisional / final booking forecasts from Customer Service Dept. / Partners regarding loading along with Logistic Dept. for evacuation of empties if any.
• Obtain all OOG / Lost slot approval from Ship Managers.
• Prepare weight list basis bookings / loadings received from cargo flow / ship manager.
• Using the last port departure bay plan, submit discharge list BAPLIE summary file to terminal prior to vessel cut-off deadlines.
• Preparing discharge / load (EDI files) for submission to terminals as per actual data received within vessel cut-off deadlines.
• Provide all related IMDG / REEFER / OOG declaration / manifest for vessel command.
• Reconcile any report / balance sheet finalized by terminals for each vessel prior vessel berthing.
• Coordinate with special / late receivable request from Customer Service / Partners to obtain approval from terminals for inclusion on load list after cut-off.
• Communicating with Surveyors, Shippers and updating terminals and necessary authorities in advance and during operations when Break Bulk shipments to be loaded / discharged from vessel.
• Report / update Claims on receipt of any damage notification received during operations.
• On departure prepare departure plans and report departure loading confirmation to all concerned.
• Prepare TDR (Terminal Departure Report) / LARA PCR (Port Call Report)
• Preparation of weekly schedules and updating media schedule publications for all services.
• Husbandry, closely monitor all ships spare receipt / delivery / crew change including Immigration formalities.
• Arranging provision supply / cash to master / hotel accommodation / air travel.
• Prepare a vessel check list of all related activities for the boarding team prior to the arrival of the vessel.
• Passing all operation related invoices in OCEAN.
• Producing reports as requested by Management.
