Responsible for checking and verifying the completeness, validity and authenticity of seafarers’ documents complying with statutory, regulatory and flag state requirements.
Responsible for the line-up of active seafarers based on the Crew Relief Plan provided by the Ship Managers or their own planning based on the presently assigned seafarer’s end of contract date.
Responsible for initiating the processing of Contract of Employment and for preparation of any Addendum to the Contract of Employment as may be applicable.
Responsible for the final pre-employment briefing as well as the post-employment de-briefing of seafarers in order to gauge their suitability for further employment.
Responsible for reviewing any request for promotion or extension of contract and ensuring that it receives the appropriate attention.
Responsible for the timely dispatch of the seafarer and ensuring that they hand-carry their original documents to the vessel.
Maintain good and proper communication and coordination with principal/ clients and port Agents.
Perform Monthly Bank Reconciliation
Perform Monthly billing or Statement of Accounts
Prepare month-end entries and other related reports
Process petty cash re-imbursements, reconcile Petty Cash on-hand and update Daily Cash position report
Compute & process leave settlements and final settlements of wages of seafarer
Prepare Working fund forecast and request from Ship Owners/Managers
Ensure the accuracy and timely submission of the prepared monthly home allotments of all seafarers
Responsible for onboard seafarers’ payroll, data entry and verification
Responsible for checking, preparation and posting of payment requisition for all seafarer’s accounts.
Responsible for checking, preparation and posting of payment requisition for suppliers
Adhere to all necessary systems and procedures to ensure continued and timely payments of requisitions
Prepare special reports as requested by management
Responsible to do ad-hoc duties required from time to time
