Telecommunications Coordinators serve as the single point of contact designated by a State agency to
interface with ITS Telecom Services on all telecommunications needs for the agency. Telecom
Services considers the Telecom Coordinator or agency contact person to be the agency’s official voice
on all requests for telecommunications products and services. This individual must have sufficient
agency knowledge and authority to fulfill the responsibilities defined under “Specific Responsibilities
of a Telecommunications Coordinator” (see below). It is strongly suggested that each agency
designate a Telecom Coordinator backup who is equally knowledgeable of their telecommunications
needs and can take over the primary contact person’s duties in their absence.
Specific Responsibilities of a Telecommunications Coordinator:
 Understand and clearly convey to Telecom Services the agency’s communications needs.
 Review all communications requests within his/her agency to ensure compliance with
Telecom Services and agency guidelines.
 Determine user needs and approve requests for service and equipment that are in compliance
with established guidelines.
 Coordinate with Telecom Services on all telecommunications projects and services including:
o Earliest possible notification of major projects, moves and changes
o Submission of plans and due dates related to the project
o Submission of completed service request forms
 Monitor services and expenditures to eliminate unnecessary costs including expedites.
 Assist Telecom Services in maintaining up-to-date records of agency communications,
employees, equipment and services.
 Monitor the agency’s use of telecommunications services for the specific purpose of
identifying products and services not being used.
 Verify all adds, moves, and changes ensuring proper completion of services before the
service technician leaves the premises; and notify Telecom Services immediately when a
service request has not been properly processed.
 Obtain a copy of the service order form from the service technician at the time the work is
completed; verify work item and hours worked and sign the service order form; and keep the
service order form on file in your agency for future verification of billed costs.
 Verify that funds are available before forwarding service requests to Telecom Services.
