• Responsible for the preparation of the recruitment process such as screening of qualified applicants, giving pre-employment exam and conduct initial interview• Coordinates with the management for the recruitment schedules• Prepare the initial internal documentation and offer letter related to employment• Collect official documents related to visa process• Assisting Accounts Division in applying WPS for each employee.
General Administration Responsibilities:
• Organizing the office’s part of administration.
• Prepare the leave settlement for employees (Privilege Leave, Sick Leave, Maternity Leave, Encashment Leave, etc).
• Prepare the final settlement for separations and terminations.
• Creating and maintaining the personal file for employees
• Create a Master trace file to assure a tight control on the follow up action .
• Personally handle all the confidential data and ensure it has been filed in the individuals personal files.
• To have an updated file load list for all the company employees.
• To maintain the daily attendance report for the admin department.
• Accountable for liaison with Company Sponsor for application of resident visas, health assessments and labor cards.
• Liaising with Typist for medical and occupational health card application processing.
• Accountable for coordinating applications for tourist visa and 3rd country visa.
• Accountable for coordinating employee(s) UAE identification card.
• Accountable for all travel ticket reservations.
• Accountable for reviewing invoices for all visas and associated costs and travel tickets. Accountable for recording and preparing associated visa invoices and flight ticket invoices for submission to finance/accounts for payment by cheque or cash.
• Handling staff grievances and disciplinary issues in accordance with Labor Law.
• Handling the renewal of vehicle insurance
• To maintain the daily update personal data maintenance in the system (HRMS).
• Dealing professionally with all the unit`s coordinator, also provides proper feedback to laborers.
• To have keep the passport in custody of all employees.
• To maintain the daily update in database.
• Daily monitoring the passport validity and remind the employees to renew themselves their passport.
• Liaising with PRO for visa/labor card processing, renewal, cancellation and government related works.
