•Draft replies to correspondence as appropriate.
•Organise travel, both domestic and international for the Management as required. Obtain best routes and value for money, make accommodation bookings. Arrange programme and itinerary as well as business visits.
•Type reports, routine correspondences and memoranda using Microsoft Word and Excel
•Coordinate diary and appointments for Branch Manager
•Promote workplace safety, equity and diversity and participative management practices in the workplace.
•Organise functions as required, including drawing up guest lists, sending invitations, arranging catering.
•Co-ordinate with the Administration Manager to ensure adequate stocks of consumable supplies are on hand, office equipment and furniture is maintained.
•Ensure the effective control and traceability of correspondence and records associated with the operation of the office by examining incoming correspondence and reports, assessing action required, determining priorities, preparing correspondence and implementing standard records management and correspondence procedures

•Arrange and minute some departmental meetings, prepare summaries and reports for other departments

•Sort and direct incoming mail
•Assist the Site Manager through arranging and recording, by diary entries, meeting, visits and key work target dates and arranging conference/meeting venues and facilities.
•Provide a high level of secretarial support for the Site Manager through the preparation of classified correspondence and reports resulting from site management.
•Issue and prepare all shipping documents such as Bs/L, manifests, shipping order and declaration etc..
•Research price agreements, confirm that they are current and verify terms of agreement
•Input data to the information system and other operation and reporting systems.
•Supervise the booking of space and the acceptance of cargo.
•Take care of local traffic, transshipment, outbound bookings and documentation
•Trace and act upon all outstanding bills and invoices
•Deal with customer queries and provide price quotations for customers
•Maintain customer database
•Handle cargo claims and make recommendations on cargo handling to reduce claims
•Maintain a suitable stock level of empty containers and co-ordinate container movements.
•Liaise with terminals and contractors to render other transport services to meet customers needs.
•Correspond and negotiate with COSCO Agents worldwide especially Germany, Israel and China as well as our port office in Alexandria port.
•Plan, organize and direct the overall operational aspects of customer services.

I enrolled at the German School in 1984 and I graduated in 1997, where I completed my three years diploma in the commercial and secretarial studies.
