Routinely prepares & type correspondences letters for the Project Manager
Provides secretarial and admin support for every department.
Send outgoing letters and other needed documents to main contractor (esp. Layout Plans, Test Results, Programme of Works, weekly and monthly updates, etc…)
Received incoming letters from main contractors and distribute to the concerned department or person.
Responsible for filing and controlling the documents and keeping them to their respective folders for future references
Monitors the office supplies and request for non availability
Answer / Transfers telephone calls to concerned person
Deal with the staff, site workers regarding HR concerns.
Prepares materials needed for a meeting.
Faxing, photocopying, scanning and send emails to concerned person
Prepares Job Order daily report to be submitted to the General Manager Office.
Make requisition letter for the materials we need for the printing.
Collect all the quotations for the day to be forwarded to the General Managers Office for the approval.
Send quotations to client and communicate to them regarding any concern about the quotation thru email, fax or phone conversation.
In charge of receiving the Local Purchase Oder from the client and process the documents needed for printing.
Responsible of filing all the copies of quotations, LPO and others documents for reference purposes.
Coordinate with the General Managers Office about the problems we encounter inside the printing premises.
