• Provide a confidential, comprehensive and efficient administrative support to the Chairman & CEO. To work alongside the CEO with the aim of alleviating all office administrative workload by filtering out unnecessary, less urgent matters. Undertake ad-hoc duties as and when required.
• Develop and continuously improve, effective office administration processes and systems to ensure that all issues are resolved as soon as possible. In addition to promote a positive image through appearance and conduct; provide a friendly, efficient and professional service to all external and internal visitors to the office.
• Facilitate all travel arrangements including airline/hotel/visas as and when required, production of itinerary and other required documents and prepare expense sheets for charges incurred during business travel.
• Maintain an up-to-date filing system on the computer as well as hard copy files.
• Prepare Medical claims and to follow up to ensure amounts due are received and consequently deposited into appropriate accounts
• Schedule appointments and arrangement of various meetings, involving the co-ordination of diary, venue planning/booking.
• Prioritize mail, advice on distribution and, where appropriate, initiate action and draft responses.
• Prepare all necessary correspondence as per the CEO's requirements.
• Receive all visitors, phone calls and enquiries in a courteous manner to promote a positive image of the company.
