Responsible to assist the HR Manager and GM Admin in all on boarding, induction, recruitment and selection activities of the company. Coordinate and direct administrative support functions for the offices. Implement policies and procedures for production of documents, work flow, filing, ordering of supplies, records maintenance, and other clerical services. Organize office operations such as workspace assignment and layout.
On Boarding:
• Prepare offer letters and ensure that proper documentation is in place for each position according to the company policy.
• Create employee files
• Induction of new employees
• Responsible for inclusion of new employees into the company’s medical and Life insurance scheme.
• Coordinate with the new employees, designers and the production department for preparing Business cards for all new joiners.
• Opening bank accounts for overseas recruits.
• Coordinate with the IT department to manage and maintain the online employee gallery.
• Activation of employee user accounts on the online self service system which is linked to the payroll system.
• Provide assistance to staff in terms of their leave and other requirements.

Correspondence:
• Preparation of various letters as per request received from staff.
• Provide assistance to staff in terms of their leave and other requirements

Administration:
• Proper maintenance of offices, office equipment and their annual maintenance contracts.
• Purchasing of office furniture/equipment.
Handling of stationery.
• Keeping track of all the magazine licenses and initiating renewal procedure in due course.
• Invoicing

Compensation:
• Prepare process and distribute payroll
• Annual leave administration.

Performance Management:
• Initiate annual appraisal exercise, prepare appraisal forms, co-ordinate and follow up with the respective HoDs
• HR Circulars - promotions, recognitions and transfers.

Visa and Work Permits:
• Prepare process and follow up PR request with the Government Relations department of Al Tayer as the visa and permit processes are outsourced to them.
• Schedule new/existing staff members for medical tests for their visa processing/renewal.
• Visa and labour contract amendment.
• Generate monthly reports from payroll system to monitor and initiate renewal process for expiring visa and work permits.
• Cancellation of Visa and Work Permits of resigned/terminated employees.
• Cancellation of employees from the company’s medical and life insurance scheme.
• Update employee details.

Confirmation:
• Keep track of the probation period and initiate the performance appraisals for each employee in due time.
• Keeping track of temporary employees and prepare cheque requests for remuneration.

Exit Procedure:
• Cancellation of Visa and Work Permits of the resigned/terminated employees.
• Cancellation of employees from the company’s medical and life insurance scheme.
• Conduct exit interview with the departing staffs.

Other Responsibilities:
• Annual and sick leave administration.
• Petty-cash management for administration and visa processing related expenditure. Preparation and submission of monthly reports to outline expenses.
