Responsibilities:
 Assigned to the Materials & Services Contracts section. Scope of responsibility is diverse and detailed below.

A. Procedures:
 Part of the team responsible for preparing Business processes for the Asset Management and Global Procurement Functions.

B. Procurement Planning, Vendor Coordination :
 Analyzing and evaluating all purchasing requisitions to ensure clarity and completeness in description of material and equipment.
 Review quotations of identified Technical and commercial specifications received from the vendors and suppliers.
 Participating in identification of vendors by researching product availability. Creating vendors list. Obtaining the Procurement plan, client approved vendors list and required manpower for the process at the start of the project.
 Preparing project specific Terms and conditions of Purchase, in consultation with the commercial department.
 Issuing request for quotations to vendors to procure goods or services in compliance with the procurement procedures. Solicit bids from vendors, coordinating with the discipline engineers to clarify pre-bid querries from bidders.
 Evaluating the bids and concluding all terms & conditions with the vendors. Arranging response from vendors for the Technical queries. Arranging bid clarifications meetings.
 Updating and issue Inquiry Status Log, Bid Clarifications Request log.
 Preparing bid tabs and performing pricing analysis, recommending contract awards that result in best value procurement ( an optimum package of the cost & quality). Preparing bid tabs. Conducting commercial negotiations and concluding on Techno-commercial requirements including incoterms. Make purchasing decesions based on specific strategy, need and business policy.
 Expediting for the Issue of Purchase orders incorporating the agreed core-order terms & conditions. Obtain PO acknowledgements. Resolve all post order commercial issues with vendors, mediate disputes resolutions for back orders (change orders).
 Providing periodic feedback to the vendors on their performance in formal bid openings. Communicate what went wrong with an unsuccessful bidder and encouraging for future bidding.
 Managing the day-to-day interaction with vendors and monitoring vendor performance after completion of the project with reference to quality, schedule, deliverables, service and performance. Communicate qualitative feedback to the vendors.
 Ensuring that a clean Purchase Order is secured from successful vendor, prior to take over by expediting..

C. Material Standardization:
 Collecting Technical specifications of all maintenance spares / Equipments and Services to create the PO text in corporate catalogue MDRM & SAP as per Material Master creation work flow.
 To carry Techno Commercial evaluation and clearance considering Incoterms.
 To identify the duplicate materials codes and initiate for merging.
 To send end user for their review and comments.
 Inform to Inventory controller for merging; upon confirmation with end user.
 To review and update the P.O text and enhance the data quality as per ISO-8000 in SAP Inventory catalogue.
 To review time to time all dormant and obsolete materials.
 Do the need full for write-off of the materials and maintain the inventory.
 To assign the maintenance parameters to all stock items ( ERSA ).
 To review the critical Spares time to time and update the database accordingly.

D. General :
 To assist manager in preparation of annual operating and capital budget.
 To perform related special tasks or assignments as and when required.
 Extensive use of SAP R/3 version ECC 6.0 PM and MM modules (Power User of PM module).

Various process units are VDU ( Vaccume Distillation Unit ), PDA ( Propane De-Asphalting area, FEU ( Furfural Extraction Unit ), MEK ( Methyle Ethyle Keytone area ).

• Preparation of Turn around scope of work for all equipments, with required man-hours, material & cost estimates for each activity of each equipment.
