Responsible and Handling all Administration activities
Managerial and administrative responsibilities:
* Planning, directing and coordinating all activities in the administration department.
* Assists all other departments in all administrative areas needed (transportation, traveling, mail telephone, fax, office supplies, furniture, security…etc).
* Over all supervision of mail, fax, telephone, and maintenance.
OHS ISO 18001
Ensure that OHS measures are followed in the office area, smoking policy, photocopier safety, office area safety, road safety, ..etc.
Code Of Conduct
Full Implementation of ABB Code of Conduct policy within the Dep., when dealing with suppliers, insurance co., governmental authorities, traffic office.
ISO 9001 & 14001& BSI Auditors
Fulfillment of ISO & BSI Auditors requirements, department manual, administration procedures.
Office and Printed Stationery
-Purchasing office stationery and computer supplies and payment.
-Ordering printed stationery, letter head, forms, envelopes, stamps, visiting cards, ...etc and payment.
Insurance
-Issuing, renewing all kind of insurance policies such as property, Fire, Burglary, money transfer, fidelity, accidents, land transportation, ...etc. and payment.
-Claims and follow up.
Communication
- All land lines, telephone system and telephone bills - local & international and payment.
-All fax lines, fax bills - local & international and payment.
-All mobile lines, corporate contract, new lines, transfer lines, all mobile facilities, USB Modems, mobile bills and payment.
-Preparing staff mobile deductions monthly.
-Requesting new extension lines and LN points for new staff, also repairing the tel. ext. & LN in coordination with IT.
Cars and vehicles
-Cars Licenses renewal, tax, fines, driver insurance certificate and payment.
-Cars maintenance / repairs and expenses.
-Cars Insurance and payment
-Pool Cars movement.
-Sale of old cars procedures, sale contracts, registration.
Rented Premises
-Hiring, contracting new premises, renewing contracts.
-Payment of rent every 3 months.
-Office Renovation/ decoration, painting …etc.
-Reallocation/re plan/organization of office furniture and setting.
-Maintenance/repair of office furniture's, desks, chairs, ..etc.
-Maintenance/repair air-conditioning, curtains, …etc. and payment.
-Plants maintenance and payment.
-Purchasing of office machines and equipments.
Travel Domestic and Abroad
-Travel Manager for EGAUT, signatory for all travel orders for issuing air tickets, visa, and travel insurance.
-Ensure the implementation of ABB travel procedures/policies.
-Ensure the approval for travel to risk countries.
-Receiving AMEX invoices and payment.
-Any other travel affairs in connection with our travel agent AMEX
Photocopier Machines
Responsible for all photocopiers machines at EGPAT (10 Machines) including reviewing the contract, contract renewal, studying new offers, selecting new machines, features, color or B/W, setting proposed copy volume - all that with the Photocopiers committee members.
Security
Hiring, contracting with security co., renewing contracts.
Payment every month.
Cleaning
Hiring, contracting with cleaning co. for 2 workshops at El Obour, renewing contracts.
Payment every month.
Summer Resort
-Hiring, contracting Summer Resort for staff during summer.
-Payment of rent, delivery of the resort at end of contract.
