Calculate budgets and ensure they are adhered to.
•Book the needed location for the upcoming events.
•Sample food and select dishes for menus.
•Visit venue to plan layout of seating and decorations.
•Schedule speakers, vendors, and participants.
•Coordinate and monitor event timelines and ensure deadlines are met.
•Initiates, coordinates and participates in all efforts to publicize event.
•Assisting to Edit and design Popup & Banners.
•Prepare for lecture presentations.
•Develop and oversee fundraising events.
•Negotiate and secure event space.
•Secure sponsorships.
•Work with printer and designer to develop event invitations.
•Create invitee list.
•Send out invitations and manage RSVP list.
•Hire staff to manage the event.
•Coordinate event logistics, including registration and attendee tracking, presentation and materials support and pre- and post-event evaluations.
•Keep inventory of backdrops, projectors, computers, and other display materials.
•Arrange transportation security matters put ushers & flags etc.…
•Do final checks at the day of the event to ensure everything meets standards.
•Oversee event happenings and act quickly to resolve problems.
•Evaluate event’s success and submit reports.
•Assist in developing regular and relevant reports on events and sponsorship progress, updates and risks.
•Welcoming VIP visitors and arrange city tours for them.
•Respond to all requests coming through help desk and give support to my colleagues whenever needed.
•Actively follow and promote all PI policies and procedures.
•Photography of events and accompanying PI students at exhibitions.
