DUTIES & RESPONSIBILITIES :
• Full follow up & control of Suppliers - Direct contact with Over 350 companies worldwide (Europe, USA, Canada, China, Korea, Gulf and many other companies spread worldwide ).
• Receivng the purchase orders (POs) from purchase Dept through the workflow of Microsoft Dynamics AX 2009 (ERP).
• Reeciving copies of purchase quotations agreed by the suppliers & purchase Dept.
• Comparing & Auditing Purchase orders with relevant approved quotations .
• Following the deliveries of purchase orders especially those which paid in advance.
• Comparing the packing slips of Raw materials (inputs) done by storekeepers with the related deliveries sent by the suppliers (Quantitative comparison ).
• Chasing & ensuring the receipt of all purchase invoices.
• Comparing unit price mentioned on the supplier's invoice with approved quotation ( Amount comparison ).
• Posting all purchase invoices after ensuring the accuracy required for eg ( Raw materials-Spareparts …etc)
• Checking all clearance charges for the materials coming from international suppliers and ensuring the receipt of the same in the company's warehouses.
• Auditing letters of credits ( L/C) - imports and adivsing the payment under followed precedure .
• Journalizing the L/Cs and follow the related delivery of the materials then closing them when they are delivered .
• Auditing payment requests coming from purchase Dept and ensuring all required documents are attached (Advance payments) then making payment transfer requests .
• Comparing all remittance copies of payment coming from the bank with required ones.
• Ensuring all payments are credited to suppliers' account, solving related problems in case they occur and close follow up with the relevant departments .
• Perpetual checking of vendors' accounts, comparing, making the necessary adjustments and advise the accrued payments.
• Review Suppliers' trial balance on quarterly and yearly basis, take the necessary action and provide explanation for every abnormal balance.
• Coordinating & administering internal control over physical inventory of Raw materials, spareparts and general items and ensuring physical inventory process is performed accurately then comparing (Phyiscal against book inventory over 3000 items).
• Cooperation with internal & External auditors and answer all questions raised.
• Banks reconciliation.
• Reporting weekly & monthly Liabilities.
• Analyzing and adjusting the discrepancies of the inventories
• Quick feedback to the relevant to person .
• Full documentation of all journals related to suppliers .
• Auditing, journalizing and settlement of All financial transactions for the following service suppliers :
- Advertising Companies .
- Transporting Companies.
- Clearance Companies.
- Travel companies (Employees' air tickets ).
- Maintenance companies .
- Insurance companies.
- Postage companies .
