Responsibilities:
· Inventory Management:
• Compile and maintain stock inventory related to stationary, IT material, all assets material etc.
• Compile project assets database, prepare and update assets reports, prepare assets tags, prepare assets handing over and taking over documents on monthly and weekly basis.
· Facility management:
• Make sure printer, photocopier, PABX, laptops, computers and other equipment are in working order.
• Ensure cleanliness of offices, conference rooms washrooms and kitchen area.
• Availability of relevant stationary and hygiene material in all locations.
• Make sure uninterrupted internet, CCTV, PABX and video conferencing availability in office.
• Keep record of repair and services done for office equipment.
• Handle queries related to facility from staff members
· Fleet management:
• Assign duties/ work assignments to the drivers as per office requirements.
• Supervise the work, workload, and work performance of drivers.
• Control and verify the overtime claims of drivers based on office requirements.
• Ensure periodic maintenance schedule of each vehicle and ensure fleet is in excellent running condition.
• Monitoring of fuel consumption of each vehicle for accuracy and coordinate payment processing.
• Carry out cost-benefit analysis for the procurements of spare parts and quality maintenance services for the vehicles.
• Check log books, bills/invoices related to repair /maintenance.
• Provide guidance to the drivers on mechanical aspects of the vehicles to ensure cost effective and smooth functioning of vehicles (such as opportunities for saving fuel consumption.
• Maintain files/records related to the vehicles and provide required information for reports, correspondence, technical papers and other reference documents.
• Prepare vehicles maintenance and fuel consumption reports on monthly basis.
• Ensure and monitor all vehicles repair workshops and other vehicle service providers.
• Review and cross check cost estimate for vehicle repairs from market.
• Make road travel arrangements for field trips and ensure all vehicles complaint before managing schedules for interior trips of operation and districts manager’s trips.
· General Administration:
• Maintain and record staff attendance on monthly and quarterly basis by checking sheets.
• Maintain staff leave record preparation on daily basis.
• Facilitation travel arrangements, ticket booking, hotel and guest house reservation online by call and email.
• Facilitate in event management.
• Prepare and submit drivers and office support staff overtime if any.
• Conduct study of project trainees and field visits to receive feedback and extract related information and report to programme team.
• Develop high quality reports, presentations and other documents if required.
• Assist in organization of project workshop and seminars, including preparation and publication of proceedings and short reports;
• Identification of potential partners and vendors for project implementation.
• Assist in project coordination and monitoring by keeping track of the project work plan and reports;
• Assist in coordinating meetings, including preparation of agenda, invitations, and drafting and circulation of minutes of the meetings;
• Provide travel arrangement support to the staff including travel authorization, raising requisition and request for security clearance, transport and hotel accommodation and processing of payments;
• Participation in the trainings for the operations/ project staff.
• Perform any other related duty as and when required.
