Review of Purchase Requirements and preparation of Tender Documents and Specific Requirements for distribution 33 kV, 11kV, LV Cables and Accessories in coordination with key stakeholders.
• Review & process tender extension request and pretender clarifications from bidders
Review of technical specifications and issue comments to concern department for improvements/amendments.
• Evaluate Tender offers, sending post tender clarifications to bidder, prepare detailed tender recommendation report including budget analysis, past procurement details, stock details, performance of past procurement and send to higher management for approval in liaise with contracts, finance, and audit department with in KPI.
• Execute, monitor & control various contracts, issue drawing approval, manufacturing clearance, inspection, delivery of equipment and payment certification.
• Evaluation of performance of contract and releasing guarantees & closing out of contracts with lesson learned.
• Prepare & update department quality procedure to improve and adopt best practices in the process to align strategic objectives of organization.
• Systematically prepare and maintain documentation in line with Quality procedure for internal & external audits.
• Review & prepare reply to audit findings and adopt for process improvement as per management approval based on the audit suggestions/improvements.
• Ascertain the extent of liquidated damages due to delay in delivery, review supplier justification and process recommendations for waiver/application of liquidated damages as per terms and conditions of contract.
• Review of technical submittal and issuing approval for private projects.
Preparation of Project Budget
Arranging Insurance cover-Erection all risk, workman compensation and Marine policy for the project.
Arranging the performance guarantee, Letter of Credit requirement and Foreign currency requirement for the awarded contract.
Preliminary planning for the material requirement for the project
Ordering of equipment after detailed technical review and price negotiations with various multinational suppliers to procure the right equipment in line with client specification and at most competitive prices to suit the budget.
Monitoring the following on a weekly basis
1. Bank Guarantee Status
2. Letter of Credit Status
3. Insurance claim Status
4. Invoicing Status
5. Material Monitoring chart
6. Factory Acceptance Inspection and report approval Status
7. Shipping Status
8. Project Cost and Project Time Monitoring
Attending client - contractor project review meetings for smooth execution of the project.
Monitoring the design progress and approval of all equipment’s
Review of planned and actual manufacturing progress of equipment from the multinational supplier.
Inspection co-ordination, notification to client and performing factory inspections as per the approved procedures.
Co-ordination with the logistics department for arranging the material shipment and delivery to site.
Co-ordination with the site and preparation of tools and testing instruments requirements during erection, testing and commissioning of the contract.
Frequent site visit to review of site progress and delivery requirement of project materials and evaluate the actual and planned percentage of progress and reporting the critical activities to the project manager.
Collecting all necessary documents to raise the invoice to client to contain the cash inflow of the project.
Clearing and certifying the payment for the supplier in accordance with the contract agreement.
