Department’s Tasks & duties:

• Prepare the contract, annexes (contracts amendment) and clearance after getting the required documents either from the leasing department or the tenants. And following it up until it’s signed by both parties.
• Update the issued contracts report that used for several purposes.
• Communicate with the new tenants to collect their contract copy & officially receive the leased unit/units.
• Circulate contracts information to the concerned departments in the mall.
• Coordinate the follow with the lawyer office:
 Transfer full documents to start a court case (lawsuit).
 Prepare the court cases report & communicate with the lawyer for an update after any schedule court session.
 Monthly meeting to discuss the cases & if there any thing that we can help with (information, pictures, reports, witnesses…etc).
• Create an E-archive in the Share Drive with a scan copy of the contracts & the following correspondences.
• Archive a hard copy of the contracts & correspondences.
• Issue regular letters to the contractor, tenants, governments sectors/agencies and/or respond to their requests & enquires, and keep a log of it along with the follow up calls if it’s contain a deadline.
• Make sure to use the maximum ways to deliver all outgoing correspondences (hand to hand, fax, regular mal and E-mail).
• Continually update the tenant’s communication information report.
• Push hard to fulfill the contracts obligations (by both parties) & report any breach of any contract.
• Following up with mall tenants to complete the contract, renewal and evacuation requirements.
• Arrange with the Finance Department to refund the rent insurance after settle the tenant’s account.
• Implement the non-renewal or terminated contracts evacuation process.
• Collect a monthly sales report from the mall tenants.
• Collect a copy of the insurance for each leased location in the mall
