* Ensure that all MSF staff has obtained on time any visa, stay, travel or
working permits in the mission country according to needs, and keep
information on legal, administrative procedures.
* Maintain the support travel service in the Coordination informed
about ongoing processes, specific situations or changes in the
procedures related to visas, working permits, etc.
* Prepare cover letters and any other necessary official letters and
translate documents upon request.
* Keep the visa follow-up file up-to-date at all time and ensure precise
and accurate information is recorded.
* Ensure surveillance on changes, new procedures or regulations related
to expatriate staff, gather all information necessary to comply.
* Follow up on expiry date of visas and apply for renewals before expiry.
* Prepare a domestic travel permit for Expat and get the approval for
their movement to/from the projects.
* Establish and maintain professional contacts with relevant authorities,
depending on the context and the needs of the mission.
* Arrange meetings related to administrative issues for the Head of
Mission or the HRCO as well as attend them.
* Keep a complete and up dated detailed list of all useful contacts in the
Country/Mission with names, telephones, addresses and other
relevant details promoting and sharing MSF principles and values at all
levels.
* Keep all documentation and files updated, properly filed and easily
accessible for the internal users.

Conduct daily procurements activities
Manage supply chain, logistics, transportation and distribution .
Build sustainable relationships of trust through open and interactive
communication.
* Creating reservations, quoting fares and issuing, issue MCOs, ressuance
of tickets and processing any refunds as per company rules and
regulation.
* Assist mishandled passengers such as NOREC/DNB to reduce passenger
complaints.
* Creating and Maintaining database for customers and keep regular
communication with them.
* Handle all cash and credit transactions on a daily basis and deposit
funds with the Accounts department in a timely manner.
* Serve customers professionally through telephone or in person to
achieve customer satisfaction and generate revenue.
* Liaise with customer and travel agents to advise of changes/cancel or delay
flights.
* Coordinate and execute annual sales activity plan.
* Resolve issues by clarifying the customer's complaint and determining
the cause of the problem by selecting the best solution to solve the
issues.
* Preparing daily reports about ticket issued, tickets refunded and void
tickets.
* Provide passengers with information on their flights including flight
numbers and Departure and arrival times.
* Developed highly empathetic client relationships and earned
reputation for delivering exceptional customer services.
* Train new staff and evaluate their performance and raise report to HR
manger.
* Liaise with all airline personnel to ensure maximum support to
passengers and immediate attention.
* Perform flight firming to minimize No-shows Passengers.
* Take a lead and act on behalf of sales supervisor when necessary.

* Follow up common protocols between embassy and local authorities
like visa entry, exit visa and diplomatic ID cards requests.
* Coordinate with Airport Authorities to obtain reception permit for
delegations via VIP Lounge.
* Liaise with MOFA regard immunities for Diplomatic mission and
registration vehicles.
* Communicate with MOI for secure movements of diplomatic members
as well as place of residence.
* Follow up procedures of travel for members booking, ticketing,
ressuing tickets and clearing cargo.
* Arrange and organize meetings and events with MOFA
* Translating documents (Arabic-English and Vice versa)
* Checks incoming invoices for rental, telephone, cell phone, internet
and other fees and arrange the payment.
* Arranges administration of (petty) cash payments and reports. 10-
Assist HR in payroll and filing.
Consular Section
* Execute all kinds of visa such working visa Hajj, Omra visa and
diplomatic visas and organize all the outputs if visas individually.
* Perform basic analyses of data and process in computer and making reports in
daily basis.
* Making Reports and statistic reports for issued visas.
* Follow up with the travel and tourism offices extract visas for pilgrims
smoothly.
* Implementing about 300 visas a day with different types .
* Develop and maintain up to date information about the service
including internet and stationery
* Undertake general clerical and administrative tasks to support the service as
required.
* Commitment of the work privacy and the apply all regulations.
