To support day to day Container terminal operational activities of generating reports and providing statistical information and answerable to queries from internal departments, relevant stakeholders, shipping agents and esteemed customers in a timely manner in line with DPW policies and procedures.

Duties:

1. Extracting data from Ports operations Computer Software like SPARCS, Opus and Maximo and coordinating with quay side staff to ensure accurate data is captured to generate reports for management to review Port productivity of live vessels around the clock. Reports include Balance & done moves, Shift report, Daily report, Equipment productivity report, SLA report, gate & yard utilization and performance, crane breakdowns, equipment console, vessel operations, crane delays, berth utilization etc.
2. Ensuring the accuracy of the data before report is dispatched
3. Encapsulate data received from berth planning and staff control, extract data from Maximo and SPARCS and update equipment report in Excel format on shift basis for management to review the equipment productivity in terms of utilization and bookings.
4. Ensuring all data is in place for weekly reports and generating weekly reports.
5. Regularly attending to customer requests on phone or e-mail which range from inquiries on status of live vessels, finished vessels, tracking container movements and status by using the PROMIS system after which prompt and clear feedback is served. Internally receiving requests from tetra radio calls too.
6. Eloquently attending to customer calls and assisting within the time limit or redirecting them to supervisory colleagues or to the section of their concern and follow up to ensure resolution.
7. Tracking Outlook mail for any customer related queries and forwarding to the seniors or concerned team if and when need be.
8. Logging customer concerns for future reference and monitoring inquiry trends so as to asses’ customer needs to achieve satisfaction.
9. Preparing Vessel operation reports (VOR) in Excel format and escalating to the concerned shipping agents upon their request or as per readily placed agreement between the companies. In due process ensuring company confidentiality remains intact.
10. Ensure the data security and integrity is in place always. Confidential information should never be shared with parties outside the port and agents should never be offered any competitive data.
11. Ensure, on phone, to maintain and improve the ability to communicate, understand and swiftly and cheerfully serve customers of different localities and cultural backgrounds as we receive calls as far as UK, Singapore, India, parts of Africa...etc.
12. Hospitably attend to clients or customers who physically visit our offices by taking care of their purpose of visit or forwarding them to the appropriate persons.
13. Warmly, efficiently and professionally greet high profile guests and customers who visit the Ports Terminal Operations building.
14. Provide accurate Ports Terminal procedures to any concerns raised through phone and e-mail.
15. Communicate between all departments regarding relevant issues.
16. Answer an average of 30-50 calls per day addressing customer inquiries and providing proper solution at the time.
17. Investigate and resolve customer inquiries and complaints in timely and empathetic manner.
18. Successfully ensure timelines are reached in attending and resolving customer queries.
19. Resolve complex customer issues thoroughly and diplomatically, in the absence of senior staffs and where there happens to be extreme matters in the presence of seniors, calmly direct the matter for quick resolution.

Technical Co ordinator
• Use (CMMS) Maximo in my day to day duties.
• Receive work requests through the system, Tetra radio or telephone (hence request is logged in to the system) and relaying the message to the appropriate team.
• Consistently and efficiently follow work flow processes.
• Review work request for accuracy and clarity: clear scope of work, realistic completion date, proper lead times, correct equipment identification, craft persons time booking etc…
• Manage status of work orders. Backlog for work order submission to work order completion. Status may include : Waiting for schedule/waiting for approval, approved, In progress, waiting for material etc.
• Follow up with supervisors/Engineers and lead to ensure that completed jobs are turned in with improvement comments/job long description in a timely manner.
• Provide timely reports as and when required. Reports may include: Backlog reports, man hour booking reports, work order detailed reports, work order generation report (specific equipment’s & work types), inventory report etc…
• Properly prioritize works and ensure proper resource allocation.
• Ensure that completed schedules and work orders are returned promptly and that all completed work orders are filled out completely by the technicians, craftsman and authorized contractor representatives.
• Completion of general administration duties including filing, archiving, photocopying and data input.
• Liaise with other departments for all operational support.
• Maintain a data base of records pertaining to all aspects of maintenance including statistical reporting and invoice control.
• Ad hoc duties as requested by planning engineer.
• HSE Responsibilities…
a) To comply with QHSE policies and procedures at all time.
b) To work safely at all times and to report all hazards and incidents to departmental supervisor/manager.
c) To actively participate in all QHSE training, programs, audits and inspections when required and as necessary.
d) To exercise a personal duty of care for their own health, safety and welfare and to that of others.
e) To lead by example and ensure protect the environment by conservation of electricity water and other natural resources and minimizing generation of waste.
• Information Security Responsibilities…
a) To protect information assets including both electronic and paper based from all threats whether internal, external, accidental or deliberate.

Duties:

• Assemble enquiries to services and utility companies under guidance from the technical team and ensure responses are obtained in a timely manner.
• Assist the technical team in administering Section Agreements and all aspects of associated works.
• Liaise with external consultants to monitor incoming and outgoing information on behalf of the technical team.
• Undertake research on behalf of the technical team on all design, planning and technical issues e.g. internet search on existing planning approvals.
• Arrange meetings on behalf of the technical team and where appropriate attend meetings to take minutes.
• Manage the approval process for invoices.
• General secretarial duties including typing memos, letters, reports and other tasks including answering the telephone, filing etc…
• Liaise with the technical team and insure they receive all incoming posts including relevant copies of letters, memos, reports and standard forms by fax or post regularly.
• Record and monitor holidays and absence records.
• Implement new ideas and methods and continue to seek ways of both improving contribution to the organization’s goals and enhancing the reputation of the company.
• To produce colored drawings for internal and external purposes (computer & manual) as required.
• At all times comply with company policies, procedures and instructions.
