Contacting foreign & local supplier, shipper, agent forwarder and customs clearance
Broker to arrange the shipment until deliver our warehouse. Monitor the shipment receiving and receiving and warehouse operation procedure such as organized storage in neat and safe .
SHIPPING and FOLLOW UP
1. PO/ Order confirmation receiving from planner/supplier.
2. Shipment and Documents status follow up with supplier and or thru forwarder.
3. Receiving shipment status details and copy of documents from supplier/forwarder.
4. Verify documents according requirement of Saudi customs.
5. If IP (Import Permit) required items, apply the IP through website of SFDA.
6. Forwarding documents with shipment status to planner/Sales team for order verification and mode of shipping confirmation.
7. If the shipment is high volume weight and need by air freight, reporting to top management with AIR/SEA cost comparison and lead time for final approval.
8. Negotiating with forwarders or transporters for best service and rates.
9. Assign forwarder and shipping economic way according requirement.
10. Ask Original documents (as per Saudi customs, one set of commercial invoice and certificate of origin must be attested by origin chamber of commerce) from supplier/forwarder via courier.
11. Shipment and documents tracking and tracing until reach destination.
12. Re-export shipment (if required)
CUSTOMS CLEARANCE and FOLLOW UP
1. Receiving shipping documents and update in shipment recap/under clearance report.
2. Prepare all clearance and legal documents to submit the broker
3. Prepare payment request for customs duties and follow up until paid duty to customs
4. Delivery follow up with broker until reach warehouse
INSURANCE and FOLLOW UP
1. Insure the shipment by locally with contracting insurance company, if not insured by supplier/forwarder
2. If found any discrepancies, report to broker/customs/warehouse/supplier/forwarder according to nature of discrepancies.
3. Claim file with insurance company
4. Update all data in the insurance recap file.
5. Follow up until settle the claim
BILL PASSING
1. Forwarder / broker / shipping/Insurance invoice verify according terms and quotation.
2. Prepare payment request and follow up until paid
