JOB DESCRIPTION OF ASSIST. ACCOUNTANT / COMP. OPERATOR
(Mr. Muhammad Adnan)
A. ASSISTANT ACCOUNTANT:
I. Maintaining Petty Expenses:
• Responsible for maintaining Petty Expenses of Peshawar office.
• Recording daily entries in excel sheet.
• Collecting bills and vouchers against petty expenses from staff.
• Finalizing and forwarding to Accountant for approval.
• Sending to head office for reimbursement.
II. Travelling Statements:
• Making payments to staff against Traveling statement forwarded by Accountant.
• Totaling all statements, preparing covering sheets and forwarding to head office for reimbursements.
III. Bank Dealings:
• Assigning jobs on daily basis to Peon to Withdraw & Deposit Cash / Cheques from bank accounts.
• Responsible for depositing Utility bills of office.
• Responsible for preparing CDRs and sending requests to head office as per advice of CEO or Senior Sales Executive.
• In case of absence of Mr. Gul Salam, daily updating bank balances to head office.
IV. Issuance of Advances to staff as per approval of CEO.
B. COMPUTER OPERATOR:
• Responsible for preparing Quotations for Govt., & Private Sectors; & Branch offices independently and as per instructions of Senior Sales Executive.
• Facilitating branch offices by emailing requested Quotations as per approval of CEO.
• Doing typing jobs (Sales & Admin)
C. ASSISTANTING AREA COORDINATOR:
• Supervision of Junior Staff (Peons, Drivers, Watchman, Sweeper, Gardener)
• Evaluating performance of Junior Staff and forwarding to Area Coordinator.
• Responsible for office closing.
• Responsible for arranging alternate in case of absence of watchman.
• Supervising office cleanliness.
• Supervising execution of office repair and maintenance jobs in coordination with Area Coordinator.
• Issuing office vehicles to staff as per instructions of Area Coordinator.
• Issuance of Authority Letters to drivers for collection of parcels from Daewoo/other services.
• For transportation of heavy items, arranging Suzuki & Shehzore accordingly as per request of staff.
• Responsible for arrangement of kitchen supplies and stationary.
• Monitoring Peon regarding maintenance of office generator & UPS
• Guiding gardener regarding maintenance of Lawn as per instructions of CEO and Area Coordinator.
• Assisting Area Coordinator in arrangement of events.
• Execution of jobs assigned directly by CEO
D. RECEPTIONIST / TELEPHONE OPERATOR:
• Working as receptionist in absence of Mr. Gul Salam
• In/Out of Phone calls. In case any staff member is not present, taking messages on his behalf.
• Welcoming guests and customers and guiding them accordingly.
• Responsible for entertainment of guests.
• Booking of Air and Daewoo tickets for staff.
• Hotel and Guest Room reservations for guests.
E. DISPATCHER:
• Responsible for receiving office postal mail and forwarding to CEO
• Responsible for dispatching Daily Mail to head office and branch offices.
• Coordination and arrangement of cargo for heavy shipments.
