Roles and Responsibilities:
• Mobilization responsibilities:
Submitting CVs of eligible candidates to client.
Attending interviews with client as contractor representative to hire new employees.
Hiring process in SAP of selected candidates after client approval / confirmation.
Maintaining personnel documents of newly hired employees.
Requesting Temporary gate on Client Portal for new candidates / employees.
Client ID / Vehicle sticker processes.
• Time keeping responsibilities:
Coordinating with department supervisors to get work schedule / attendance to prepare time sheet & sending back to supervisors for their review and verification (employees are working with various departments / districts).
After department verification submitting time sheet to client (Administration Department) for approval.
Hand over approved time sheet to finance accountant for invoicing.
Time sheet entries / verification in SAP to release employee’s salary.
Coordinating with Payroll team for adjustments.
Queries with employees on monthly salary and explanation about their OT and deductions.
• Other responsibilities:
Leave processes in SAP.
Leave settlement preparation.
Separation processes in SAP in case of resignation / termination.
Final Settlement preparation.
Payroll processes (Salary certificate / Pay slips)
Bank guarantee letter requests processing in SAP and coordinating with HR department to issue bank guarantee letter.
Medical Insurance processes in SAP / coordination with employees for required documents.
Having all SAP R3 accesses in SAP to enter employees & their dependents information for medical insurance and then to coordinate with insurance company through HR coordinator for medical insurance cards.
• Transportation Coordination:
Preparing working schedule for drivers.
Coordinating with HR administrator to get approval from management for vehicle’s maintenance / repairing.
(b) Department Coordinator (June 2015 to April 2017)
At 2 x 115/13.8 KV Substation projects (construction)
Client: Saudi Electricity Company / National Grid
Roles and Responsibilities:
• Responsible to generate Purchase Requisition in SAP & HRMS as per projects requirement.
• Maintained master file / record of client correspondence. Like:
Submittals preparation & record.
Updated record of client transmittals on our submittal to their main head office.
Client replies record.
• Time keeping responsibilities:
Time sheet preparation for both projects.
Time sheet entries / verification in HRMS & SAP.
• Transportation Coordinator responsibilities:
Working schedule of drivers for both projects.
To get Quotation from various workshops for vehicle repairing / Maintenance.
Coordination with HR coordinator to get approval from management for vehicles maintenance / repairing.
Invoices submission (vehicles maintenance / repairing) to Finance department to release payment
• Other responsibilities:
Employee’s vacation / final exit process in HRMS & SAP.
Coordination with GRD for ERE Visa.
Air ticket arrangements.
Maintained Iqama / client ID expiry record.
Coordination with HR administrator for vacation settlement / final settlement of employees.
• Taken responsibilities of secretary with witness (CSD) during testing & commissioning at sites Responsibilities:
