Managing diaries and organizing meetings and appointments, often controlling access to the manager/executive
Booking and arranging travel, transport and accommodation
Organizing events and conferences
Reminding the manager / executive of important tasks and deadlines.
Typing, compiling and preparing reports and correspondence
Coordinating office activities and operations to secure efficiency and compliance with company policies.
Supervising administrative staff and dividing responsibilities to ensure performance
Manage phone calls and correspondence (emails, letters, packages etc.)
Support budgeting and bookkeeping procedures
Create and update records and databases with personnel, financial and other data
Track stocks of office supplies and place orders when necessary
Keep organized ledger of expenses and remain budget by always seeking the best prices for supplies
Ensure all equipment is functioning properly
Assist colleagues whenever necessary
Preparing client contracts, invoices, quotation and following up with customers on payments
PRO - Renew, update and maintain all employees and their dependent visas, labor cards, and labor contracts in a timely manner to ensure that a company’s records are up-to-date in the Labor and Immigration Departments.
Working with Senior Management:
Involved in managing strategies for employees’ professional development.
To maintain and provide a support service to the Director of Facilities daily schedule, including forward planning of his workload, diary management and co-ordinating and collating all relevant paperwork.
To set appointments and meetings for the Director as requested.
