• Maintained Staff Database - I am responsible for maintaining detailed personal information records on all UN staff members and their dependents.
• Request regular staff list updates from agencies and update SIOC records accordingly. Advice agencies of discrepancies in the information provided.
• Prepare reports for agencies, UN Headquarters, and the security plan as required.
• Maintained Staff Tracking - I am responsible for maintaining all staff tracking records including, both external and internal travel clearances, duty travel and travel on leave.
• Receive staff tracking (email / travel plan, leave request form) and ensure the information is correct and entered into the database as required.
• Checking for duplication of information
• Processing information as outlined below
• Maintained External Clearances/Receive security clearance request.
• Adding external SC to tracking database.
• In conjunction with OIC SIOC, arrange security orientation briefings weekly for incoming staff. Ensure the recipient is aware of the requirement to report for a security briefing on arrival.
• During security briefing ensure newcomers fill in personal data sheet and add info to the database.
• Familiar with the operation of VHF radios. Maintain radio contact (VHF) with Islamabad Radioroom.
• Ensure efficient communication and information flow for all units and agencies in accordance with the United Nations standards and the government regulations.
• Recording all communications in written and electronic form and report them to the OIC SIOC and Head of agency as required.
• During Convoy tracking, report any incident or emergency to the OIC SIOC and the Head of Agency as required.
• Keeping all communications sent or received by UN staff members strictly confidential.
• Ensure radio discipline. Monitor voice and data transmission on the UN radio network in order to maintain strict radio protocol, and correct any misuse of the radio procedures, including the use of call signs, English language, proper radio keywords etc.
• Update the call sign lists of handheld radio holders other UN staff.
• GIS mapping.
• Minimum Operating Security Standard MOSS updating.
• MORSS updating
• Security Risk Assessment (SRA) updating
• Country Briefing Notes updating
• Security Plans updating.
• Daily and Weekly and monthly security reports updating and sending to the staff members.
