• Coordinate, collect and centralize all information about the activities of the program (i.e. research outputs, program level performance indicators).
• Prepare and coordinate program level documents such as (annual work plans, project information memoranda, communications strategies, evaluation plans, project reports or briefings, reports to donors, reports of meetings) for the program team, and in response to specific requests by Centre management.
• Track the time to respond to concept notes and proposals in order to assess the program’s response rate.
• Develop and implement team processes in order to ensure good work flow within the team and with other Centre services.
• Act as the first point of contact for enquiries about the program.
• Make recommendations about the content and operations to improve the work of the program.
• Coordinate the implementation of monitoring and evaluation plans for the program
• Prepare minutes and meeting reports to ensure discussions and decisions are well documented.
• Lead the development of a communication strategy for internal and external audiences and coordinate its implementation.
• In collaboration with program team and other CNC staff, assist in the drafting and editing of reports, special papers, reviews, journal or newsletter articles, manuscripts and other documents for publication or presentation.
• Prepare and coordinate written, graphic, visual materials, web site content and other social media for public presentation/dissemination (networking, public relations purposes or for revenue generation).
• Organize meetings, conferences, seminars and workshops; documents and disseminates outputs to participants and selected management
• On occasion, make presentations and/or represent CNC at selected meetings, conferences, workshops or seminars.
Responsibility for development & implementation of efficient office systems
Responsible for organizational functions and general meeting support: including arranging, follow up calls, maintaining office space schedules & securing food and supplies
Responsible for managing supplies and maintenance of storage areas
Provide support for teams: staff’s travel arrangements and expense tracking, program and stipend supplies, etc.
Provide support for Marketing/Communications; maintain mailing list, assist with mailings and packets, web updating.
Provide support for IT department: help monitor staff needs, assist staff with problem solving, assist IT staff as requested.
Provide support for Human Resources: interview schedule, applicant pool, resume files, orientation, monitoring time sheets
Provide support for Finance; monitor staff credit card purchases and documentation, reconcile monthly bills.
Track and help manage ED calendar, assist with meeting set up, and other duties as assigned
Research education topics and prepare memos for background
Develop and implement all purchasing procedures
Negotiate pricing, terms and condition of contractors and service providers.
Communication with Clients directly to ensure the quality of the services we are providing, understand and process the requirements as and when needed.
