Responsible for overseeing all aspects of the work order for service department of Gulf region. It includes implementation and coordinating with the service manager on the completion of customer work orders, putting together billing for work completed, and reviewing time cards for service employees.
Booking the flights, hotels and processing travel visas. Handling monthly reports for service sales, purchasing, backlog service jobs and labor cost allocations.
Addition to tasks, supporting administrative jobs in general such visas and flight bookings for all departments. Dealing with the company needs to office supplies and attending with JAFZA required documents for submissions.
Duties /Responsibilities:
- Responsible for organizing marketing activities of the company from internal to external source. (Internal: Annual Party, Dubai Marathon, Company dinners, welcome and farewell parties outside and External: Gulfood Manufacturing Exhibition (2016 - 2017), Dubai UAE, Caspian Oil and Gas 2017- Azerbaijian, ADIPEC 2017- Abu Dhabi)
- Responsible for catalogue, banners and leaflets designs.
- Responsible for taking quotation of marketing initiatives of the company
with affordable price and quality wise.
- Responsible for writing reports, articles, video presentation and similar documents for website and online advertising for participation of events.
- Updating customer database by inputting data from trade shows exhibition.
- Assembles reports after exhibition by compiling, consolidating, summarizing information, graphs and presentations.
- Prepares mailers by formatting content and graphics, arranging printing.
Additional Responsibilities for accounting and logistics field:
- Accomplish and implement Sage software - accounting system - with main responsible towards installation and importation of the item database of 55, 000.00 item in the lists, purchase order, sales order acknowledgement, general ledger, opening balance from tally, register simple code and document layout in the system and throughout implementation.
- Trace, track and expedite purchase processes
- Create and maintain contact with vendors and customers to ensure timely delivery of goods
- Ensure accuracy of all inventories
- Ensure all payments are processed in time through updating bills, invoices and purchase order in the system
- Request quotation to supplier and creating purchase order, so,
- commercial invoice, packing list, delivery advice.
- Interact with third party logistics service providers
- Scheduled and Coordinate appointments and events for Chairman and managers.
- Serve as liaison between departments, operating units, business partners in the resolution of day to day administrative and operational problems.
- Composed and edited correspondence and memoranda from dictation, verbal direction and knowledge of departmental policies. Prepared, transcribed, and distributed agendas both internal and external activities
- Expo Milano 2015(May - November) - (Yemen Pavilion Chapter): Made international travel arrangement for exhibitors (50 people more or less) to fully participate in the promising event through coordination with Expo Organization - Milan, Italy.
- Team member in making Business Proposal for Yemen Pavilion, Global Village and the pavilion has been awarded for the 20th Winter Season (2015 - 2016) in the company. Organizes and selling stand for Yemen Pavillion
- Created reliable and efficient client database, providing technical support expense
- Major role for advertising - all types that constitutes promotions and marketing programs
- Liaising and networking with a range stakeholders including customers, colleagues, suppliers and partners organizations
- Managing the production of marketing materials, including leaflets, posters and flyers
- Organizing, conducting and attending events such as conferences, seminars, exhibitions and marketing initiative program of the company
- Conducted Market Research for Product Innovation Implementation- (New Product Line - Pan Repablik) - to cover all target market and generate more sales.
