preparation and distribution of any forms of letters as required.
Maintain project register, both internal and external
documents, correspondence, drawings and submittals within
the project EDMS (Electronic Data Management System)
iPROMIS) as per ISO requirements and company Quality
Procedures.
Input document data into the standard registers ensuring that
the information is accurate and up to date.
Ensure that controlled copies of documents and drawings are
properly disseminated to the appropriate staff, Consultants and
Contractors as applicable.
Maintain updated records of all approved documents and
drawings and their distribution clearly
Maintain the documents and drawings in the Document Control
office under safe custody without any damage or deterioration
with easy traceability.
Maintain document processing and document retention
systems of the project using (Electronic Data Management
System) and (iPROMIS).
Retain and be able to retrieve all correspondence, reports,
drawings, sketches, instructions, minutes of meetings,
submittals, requests-for-information, payment requests,
variations, tenders, contracts and all project documents.
Ensure proper file codes are indicated on each document and
that proper redundant or subject files are maintained.
Carry out various functions related to document control,
archive, document imaging and maintenance of
databases/registers.
Reviews completeness of documentation and prepares
document transmittals.
Performs document quality check in accordance to Company
document control procedures.
Ensure the timely turn-around of documentation issued
internally or received externally

deliveries to meet customer demand with little to no delay
Prepares loads for transport
Oversees inventory of materials and vehicles
Typing letters, faxes, emails, memos; receiving mails/emails;
and entering correspondence in the log register and keep it up
to date.
Updating records on incoming/outgoing orders.
Attending telephone calls and being in the front office
Scanning and copying contracts, notes and other documents.
Establishing and maintaining the filling system
