Provide some recruitment administration support.
Manage the new joiner process from offer letter through to joining instructions and
Induction.
Assist in the development of HR policies and procedures.
Administer the performance management system.
Enter data into the HR system so that accurate records are maintained.
Provide data for and prepare management information reports.
Manage the absence recording system.
Manage the holiday recording system.
Administer the probationary review periods.
Manage the leaver administration process.
Provide support in investigations for disciplinary and grievance procedures.
Provide HR administration support to the HR Officer and the finance and business director.
Carry out any other reasonable ad hoc duties in order to support the HR department.
Undertake other duties as directed by line managers commensurate with the post.
Registration activates for trainees and groups (trainee database update, print certificate, filling, prepare drop and deficiency notices, etc.)
Clerical duties (Prepare MIS Report, Teaching and Testing Schedules, Materials Cost Sheet report, Filling, handle mail, Timekeeping, Travel Request, SA60, etc.)
Request Materials Via B2B system.
Organize paperwork such as survey forms and reports for distribution and for analysis.
Manage and update related databases.
Receive, direct and relay telephone messages and fax messages.
Direct the general public to the appropriate staff member.
Maintain the general filing system and file all correspondence.
Assist in the planning and preparation of meetings, conferences and conference
telephone calls.
Make preparations for Band Council and committee meetings.
Maintain an adequate inventory of office supplies.
Respond to public inquiries.
Provide word-processing and secretarial support.
Perform all secretarial duties and functions pertaining to personnel matters. Receives and handles the incoming and outgoing communications /cases of the office.
Composes letters, memos, and circulars on instructions.
Prepare certificate of employment for the staff leaving the Almana group.
Prepares standard forms for salary increment from all department for their staff at contract renewal, to be submitted to the administration for salary increase approvals.
Perform other function that may be assigned.
Training as a co-op student for Secretary Task for (6) weeks.
