Handling, Preparing Morning Production Reports, preparing Field Superintendent correspondence. Fax, Photo copier machines responsibility, office setup, phone answering, maintaining accurate filing system and Etc… preparing & sorting mails To and From Tripoli. Preparing Weekly and Monthly Reports of concession 103. Providing coverage for Tripoli Operation Manager’s Secretary as required and requested. Preparing and maintaining a fully (DCMR) Direct Charge Material Requisitions of 103. Recording and received Warehouse quotations from Tripoli Operation Department and from Tripoli Purchasing Department to be forwarded to End-users in Concessions 103A and 103D. Responsibilities for issuing employee and office memos. Maintain a comprehensive database of employee. Establishing, organizing and supervising the maintenance department records, including Employee Files, ensuring complete accuracy and confidentiality. Solid knowledge of company’s policies and Work procedures. Arrange travel arrangements for staff and board, including accommodations.
Prepare documents, reports and manage correspondence. Maintain office system. Handling incoming mail and other material from anywhere and accountability. Daily checking of electronic machines inside office like as Fax, F/Supt Printer and Photocopier machines etc. Recording/Tracking of all replied warehouse quotation from Field Coordinators and forwarding of same to 103A warehouse or Tripoli as required. Working time 11 hours a day from morning 05:45am to evening 05:00pm, including 90 minutes break, rest and launch time.
Organizing and storing the Paper works. Photocopying and printing various documents also for the colleagues. Knowledge of office processes, practices, and computer software applications. Fluent in written and spoken English.
Distributes external mail (paper) addressed to the Management to all concerned persons and departments. Manages internal circulation of information. Participates in the supervision or management. Acts as reference point during delegate's/supervisor's absences. Respects and observes staff regulations. Performs duties and tasks not covered in this job description and provide support to other departments when necessary. Take care of all new Expat and Local employee, give information about paper works. Handling Expatriates and local Employees travel Documents (Passport, OL-8, Visa Authorization, Itineraries etc...) \{Whenever Admin unable on the field\} connect with Tripoli Documentation Department and Travel Section for employees.
