Executive Assistant - Sales Coordinator in charge of:

 Events’ Bookings & logistics: all types of international & local conferences & events with Doctors, Cycle Meeting 2013 of the regional company branches done in Beirut - Lebanon including hotel bookings & outdoor events bookings & team building activities, All kinds of events for Boehringer Ingelheim team inside & outside the office with the best quotations available, Arranging Visas & bookings for all our visitors from BI outside Lebanon & for all our doctors & team members travelling outside Lebanon.

 Tickets & Visas’ Bookings & logistics: for Doctors, BI Annual Sales Conference to Europe & Cycle Meeting in the Region, BI team trainings & exhibitions.

 Transportation & Hotels & Conferences Bookings & Travel Insurance: for Doctors & BI team inside & outside Lebanon.

 Supervision of the total renovation done to our offices in Beirut twice in addition to daily follow ups with contractors & our agent & the suppliers involved. (Including furniture, & office equipments & stationery etc…)

 IT Supervision for: IT Support team, Assets, Maintenance, Quotations, Orders, Liaison with our Regional Office in Dubai, Follow up with our team & management in Lebanon, Follow up with suppliers for I Pads, Laptops, office equipments..etc.

 HR: New recruits legal procedures liaising with our agent Mersaco procedures, New recruits registration on BI systems, My hub approvals (international HR online system for BI) for Lebanon team & Mersaco weekly leave report, All HR Follow up on Lebanon team requests, Responsible for our team yearly Insurance & Travel Insurance & for the close follow up on each member case in addition to the insurance paper work, Monthly Head Count Report to communicate with our Regional Office.

 Finance: Cognos System upload on monthly basis in addition to the free goods report (international finance & stock & forecast online system for BI), Debit Note with our agent Mersaco & our Regional Office in Dubai on monthly basis, Requisitions of invoices on daily basis, Cheques on daily basis, Thank you letters to Doctors with cheques on daily basis, Handling cheques to suppliers, Controlling our statement of account with all suppliers on monthly basis, Handling the Petty Cash of BI, Initiating semesterly cross validation of Marketing and Sales budgets with expense holders.

 Being a member in the “Ministry of BI Family Affairs” (internal committee of BI) to make sure all our team members are motivated throughout the year.

 Administration & Office Manager: Responsible for all the office & team needs on daily basis & following up on their tasks to be presented on time. Personal Assistant to the Country Head Levant & to the Head of Sales Levant & Following up on all their needs while they are inside & outside Lebanon
